In this role, you will serve as the administrative hub of our health services department, coordinating communication between residents, families, physicians, and clinical staff while ensuring accurate documentation and efficient day-to-day operations. From scheduling appointments and managing physician orders to maintaining electronic medical records and supporting resident care coordination, your attention to detail and exceptional customer service will help create a seamless experience for our residents and their families. The ideal candidate is organized, dependable, and thrives in a fast-paced environment where teamwork and compassion are at the center of everything we do. This is a full-time position working Monday through Friday. Duties and Responsibilities:
Front Desk / Communication Answer and triage all incoming calls to the nurse's station, routing urgent clinical matters to the appropriate nurse immediately Serve as the primary point of contact for families calling with resident-related questions or requests Call families to schedule care conferences and coordinate other resident-related communications as directed by the clinical team Physician & Appointment Coordination Schedule resident doctor's appointments, including transportation coordination as needed Follow up with physicians' offices on resident concerns, pending orders, and outstanding documentation Track and confirm appointment outcomes and communicate updates to the nursing team Medical Records & Documentation Process incoming physician orders and route to the appropriate nurse for review/signature File and maintain resident medical records within the electronic health system (ALIS) Ensure timely, accurate scanning and filing of physician orders, lab results, consult notes, and other clinical documentation Maintain confidentiality of all resident health information in accordance with HIPAA General Support Assist the HSD/Wellness Nurse with administrative tasks related to survey readiness, audits, and QMP documentation as requested Maintain organized, up-to-date logs for appointments, orders, and family communications Perform other clerical duties as assigned in support of clinical operations
Qualifications:
High school diploma or equivalent required; medical office, administrative, or healthcare experience preferred Prior experience in a senior living, skilled nursing, or medical office setting strongly preferred Familiarity with electronic health record systems (ALIS experience a plus) Strong phone etiquette and customer service skills, particularly when communicating with families Basic proficiency with Microsoft Office and e-fax systems (RingCentral) Due to the nature of the work performed by Ascent Living Communities, and that this position works with a vulnerable population, we do require a criminal background check be completed
Pay:
$21.00 to $23.00 an hour based on experience
