Job Description
Overview Join our dynamic healthcare team as a Clinic Office Assistant, where your energy and organizational skills will help ensure smooth daily operations within our busy medical facility. In this vital role, you will serve as the first point of contact for patients and visitors, manage administrative tasks with precision, and support clinical staff by maintaining accurate records and facilitating efficient workflows. Your proactive approach will contribute to delivering exceptional patient service and supporting the overall success of our clinic. Responsibilities Greet patients and visitors warmly, providing excellent customer service while managing check-in and check-out procedures. Schedule appointments using electronic health record (EHR) systems such as Notable, ensuring accurate and timely patient scheduling. Verify insurance coverage and benefits, including insurance verification for Medicare and other providers, to facilitate smooth billing processes. Collect and process payments related to medical collections, co-pays, and outstanding balances with attention to detail. Maintain and update patient records in various EMR (Electronic Medical Records) systems like eClinicalWorks or Dentrix, ensuring compliance with HIPAA regulations. Review documentation for accuracy, completeness, and adherence to coding standards such as CPT, ICD-9/10, and ICD coding for proper billing and care planning. Manage phone systems with professional phone etiquette, handle multi-line calls efficiently, and direct inquiries appropriately. Support administrative tasks including filing, data entry, preparing reports, and managing clinic supplies to ensure a well-organized environment. Assist with medical billing processes by reviewing documentation for accuracy and supporting claims submissions. Collaborate with clinical staff on care plans and documentation review to ensure seamless patient care delivery. Requirements Proven experience in a medical office setting or healthcare environment with familiarity in clinic operations. Strong knowledge of medical terminology, ICD coding (ICD-9/10), CPT coding, and medical billing procedures. Experience working with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks or Dentrix is highly preferred. Excellent computer skills including proficiency in Microsoft Office applications (Word, Excel) and health information management software like Eaglesoft or similar platforms. Ability to handle sensitive patient information in compliance with HIPAA regulations with integrity and confidentiality. Bilingual abilities are a plus to serve diverse patient populations effectively. Exceptional organizational skills with attention to detail in documentation review and office management tasks. Strong communication skills coupled with professional phone etiquette and customer service orientation. Prior experience in dental or hospital clinics is advantageous; familiarity with dental terminology or hospital workflows is a bonus. Ability to multitask efficiently in a fast-paced environment while maintaining a positive attitude.
