Office & Lab Manager Spring Innovation Fund Berkeley, CA Job Details Full-time $70,000 - $90,000 a year 1 day ago Benefits Health insurance Dental insurance 401(k) Paid time off Vision insurance Qualifications Record keeping Office activity coordination Operations coordination Spreadsheets Moving Laboratory record keeping Full Job Description Office & Lab Manager About the role Spring is a nonprofit venture platform building and backing companies that improve animal welfare at scale. Spring Works, Spring's in-house technology group, designs, prototypes, and welfare-validates the devices the ecosystem needs but no vendor supplies. These technologies are then handed off to our incubated companies for deployment. We are a small team designing and building physical machines - stunning systems for fish and crustaceans, water quality and actuation systems, and farm robots. That means an office full of design engineers, a shop full of parts and deliveries, a bench of test equipment, a rotating set of vendors, and experiments running most weeks. This role keeps all of it moving. We're hiring an Office & Lab Manager to run the day to day of our workspace. Most of this job is what a good office manager does anywhere: keeping the office stocked, clean and running, handling building services and vendors, ordering lunches, and keeping the constant small things handled so nobody else has to. Initially it also means helping us set up the office and warehouse, from an empty space. The smaller part of the job is lab support, and it's the part that makes this different from an office manager role somewhere else. The engineers handle their own technical ordering and more complicated tasks. What they need from you is everything around it: placing a routine order at a particular time of day, unpacking and checking what arrives, getting a package back out the door, and even checking in on experiments as needed. You do not need an engineering or technical background for any of it. What the job does ask for is precision and follow-through. If you're given a link and a quantity, the right thing arrives. If you're given a written protocol, you can follow it. When something doesn't match what you expected, you flag it rather than guessing. We're a small team that is about to get bigger, so the shape of this job will keep changing. What it covers six months from now won't be exactly what it covers on day one. We're looking for someone who is comfortable with that and happy to pick up whatever the team needs next. What you'll do Office and workplace Keep the office running: supplies, snacks, coffee and lunches ordered, and the kitchen and common areas stocked and tidy. Coordinate janitorial service, building maintenance, waste pickup and office vendors. Handle mail, couriers and visitors. Support team events and interview-day logistics as the team grows. Notice what is about to run out, break, or go unbooked, and handle it before anyone has to ask. Orders, deliveries and shipping Place routine orders on request. Usually that is a link and a quantity from a team member, sometimes to be placed at a particular time of day to make a cutoff. Engineers handle their own specialist purchasing. Receive, unpack, check and log deliveries. Confirm what arrived matches what was ordered, and chase what didn't. Pack and ship outbound packages - parts going to machinists, equipment going to test sites - or drop off pre-packed orders. Flag anything running late that someone is waiting on. Experiment support (as needed, with clear instructions) Follow written test protocols to manage ongoing experiments, for example, reading values off instruments and screens at set intervals and logging them accurately. Set up and reset test stations between runs as directed. Flag anything that looks wrong or out of range to the engineer running the test. Keeping the shop and lab running Help the engineers keep the shop stocked and orderly: consumables, fasteners, PPE, cleaning supplies. Maintain the shop and lab to a safe standard - clear walkways, labeled storage, no trip hazards, waste handled properly. Coordinate outside services such as equipment maintenance, calibration, and contract machining drop-offs and collections. Setting up the office and warehouse (more immediate) Help coordinate our move into a new space: furniture ordering, delivery scheduling and assembly. Help get building services, internet, security, trash collection, and accounts running. Support shop equipment setup alongside the Director of Engineering, and take a larger role in it if you bring relevant experience. What we're looking for Required 3+ years in office management, operations coordination, facilities, lab support, or a similar role. High attention to detail. Comfort saying "this doesn't look right" instead of substituting something close enough or quietly guessing. Organized, with good record keeping. Confident with spreadsheets and email. We use Google Suite. Comfortable in a working shop, able to lift 50 lbs and stand for extended periods of time. Able to work independently and prioritize when several people need something at once. Willing to be on-site. This is not a remote role. Nice to have A hands-on background of any kind. You've made, fixed or fabricated things, at work or as a hobby. You don't need to be technical, but someone who has built things or ordered parts for their own projects will pick this up faster. Experience ordering from industrial suppliers such as McMaster-Carr, Misumi, Grainger or Digi-Key. Experience coordinating with building vendors or property managers. Lab or research environment experience, including data recording or sample handling. Familiarity with shop tools and equipment. Shipping and receiving experience, including freight or international shipments. An interest in animal welfare.
