POSITION SUMMARY
Our oral surgery office is seeking a highly organized and detail-oriented Administrative Coordinator to provide operational, administrative, and accounts payable support to our leadership team. This role works closely with the Operations Manager and department leaders to coordinate projects, support onboarding and compliance initiatives, manage vendor relationships, assist with marketing and referral activities, and oversee select bookkeeping and accounts payable functions. The ideal candidate has prior dental, oral surgery, or healthcare administrative experience and thrives in a fast-paced environment where organization, initiative, and professionalism are essential.
KEY RESPONSIBILITIES
Administrative & Operational Support Provide administrative support to the Operations Manager and leadership team on ongoing projects and initiatives. Coordinate new employee onboarding activities, excluding payroll and benefits enrollment. Track employee and provider certifications, licenses, and renewals, including CPR/BLS, DAANCE, radiology certifications, and other required credentials. Assist with the creation, formatting, organization, and maintenance of SOPs, training materials, and internal documentation. Prepare agendas, materials, and administrative support for leadership and staff meetings. Coordinate referral relationship activities, community outreach efforts, sponsorships, and marketing initiatives with key team members. Manage front office administrative ordering and supply coordination. Maintain organized administrative records and support regulatory and compliance-related projects. Perform executive assistant and special project duties for leadership and surgeons as assigned. Accounts Payable & Vendor Coordination Organize, review, and track incoming invoices. Ensure invoices are coded appropriately and submitted to the accounting team in a timely manner. Coordinate payment-related communication between vendors, leadership, and accounting partners. Maintain organized accounts payable records and documentation. Monitor recurring office expenses, subscriptions, and vendor agreements. Assist with banking-related administrative tasks and reconciliation support as directed.
REQUIRED QUALIFICATIONS
Minimum 2 years of dental, oral surgery, healthcare, or medical office administrative experience. Strong organizational skills with the ability to manage multiple projects and deadlines. Exceptional attention to detail and follow-through. Professional written and verbal communication skills. Ability to work independently while collaborating effectively with multiple departments. Proficiency with Microsoft Office, including Outlook, Word, and Excel.
PREFERRED
Oral surgery or specialty dental practice experience. Experience with accounts payable, bookkeeping, or vendor management. Experience coordinating events, continuing education programs, or marketing initiatives. Familiarity with practice management software and healthcare compliance requirements.
