Job Description
Role Summary We are looking for a highly organized and reliable team member to oversee essential administrative activities while also providing operational support to our clinical staff. This position is central to keeping the clinic running efficiently and ensuring that employees, clients, and families experience a structured, secure, and welcoming environment. The role combines office coordination, facility oversight, and hands-on assistance during urgent behavioral situations. Primary Duties Maintain a positive, safe, and professional setting throughout the clinic. Step in to assist Autism Technicians and provide direct support to clients when coverage is needed. Help implement crisis response and behavior de-escalation procedures. Oversee office logistics, including ordering supplies, coordinating repairs, monitoring equipment, running errands, and communicating with service providers. Manage calendars, schedule appointments, and coordinate meetings with internal staff and outside partners. Answer incoming calls and messages promptly and courteously. Arrange and maintain organized workspaces that support staff productivity. Monitor therapy rooms and common areas to ensure they remain clean and orderly. Work with Human Resources to distribute policy updates and relay procedural changes to staff. Evaluate administrative processes and recommend improvements to increase efficiency. Coordinate with IT support to maintain technology and resolve technical problems. Review and submit invoices, receipts, and office expenses accurately. Compile and submit reports according to established deadlines. Welcome visitors, caregivers, and clients in a courteous and professional manner. Assist with onboarding and orientation for new employees. Respond to staff questions related to supplies, payroll, scheduling, and leave procedures. Organize team meetings, staff events, and workplace celebrations. Minimum Requirements High school diploma or equivalent. Current CPR and First Aid certification, or the ability to obtain certification after hire. Crisis intervention training, or willingness to complete required certification. Prior experience in administrative support, office coordination, or a similar position. Successful completion of a background screening. Valid driver's license, dependable transportation, and proof of automobile insurance. Strong communication and interpersonal skills. Working knowledge of office procedures and administrative systems. Proficiency with Microsoft Excel and Microsoft Outlook. Ability to operate office equipment such as printers, scanners, and fax machines. Excellent organizational abilities and strong attention to detail. Ability to manage multiple priorities effectively. Resourceful and solution-oriented approach to work. Preferred Credentials Bachelor's degree in a relevant discipline such as Business Administration, Psychology, or Education. Experience supporting children or individuals with developmental disabilities, including Autism Spectrum Disorder.
