This position requires onsite attendance at our Scottsdale office during regular business hours and is not a remote or hybrid role. We are seeking a compassionate, organized, and detail-oriented team member. This position serves as a primary contact for patient calls, referrals, and inquiries while supporting our interdisciplinary team through effective coordination, record management, and administrative organization. The ideal candidate will possess outstanding communication skills, exceptional attention to detail, and strong proficiency in Microsoft Word and Excel. Key Responsibilities Manage daily office operations, including phone systems, HIPAA-compliant systems, and supply inventory. Receive and coordinate incoming patient referrals and inquiries. Help maintain accurate patient records in accordance with hospice regulations, Medicare/Medicaid requirements, state guidelines, and HIPAA standards. Enter and verify patient information within the electronic medical record (EMR) system to ensure accuracy and compliance. Assist with coordination and communication from office with vendors and community partners. Support billing processes by providing quality checks and ensuring accuracy prior to submission. Ensure office operations consistently meet hospice regulatory and compliance requirements. Participate in audit preparation, quality improvement initiatives, and policy updates. Track employee licensure, certifications, training requirements, and renewal deadlines. Provide compassionate and professional support to patients, families, caregivers, and referral sources when needed. Act as a liaison between advisors and clinical team members to promote seamless communication and patient care. Handle sensitive and confidential information with discretion, professionalism, and empathy. Qualifications High School Diploma or GED required. Associate's or Bachelor's degree preferred. Previous experience in hospice, palliative care, home health, or medical office management strongly preferred. Knowledge of hospice regulations, medical terminology, Medicare/Medicaid requirements, and HIPAA compliance. Proficiency in Microsoft Office, particularly Word and Excel. Experience with healthcare software and EMR systems preferred. Strong organizational, communication, and multitasking abilities.
