Job Description
Surgery Coordinator Northstate Foot and Ankle Specialists was founded on the premise of "Every Movement Matters." We deliver a joyful and top-quality, caring atmosphere for our patients. We take pride in our practice being unique; there is nothing like it in Northern California! Our practice is a multi-physician Podiatry office, which includes a Physical Therapy department. Our doctors have collectively treated patients for over 60 years and have a goal to make the quality of their patients' lives better from the ground up! At Northstate Foot and Ankle Specialists, we believe that each staff member makes a unique and vital contribution to the success of our practice. Job Description Overview The Surgery Coordinator is expected to contribute and identify ways for our team to continuously improve the patients' surgery experience. They will monitor internal surgery orders and ensure that all the necessary documentation is in the chart, appointments are scheduled, and the surgeon has the apporpriate time and tools in place and ready for surgery day. You will complete functions of this role in a timely and accurate manner. The Surgery Coordinator works with a team member from both Chico and Redding who assist with scheduling and obtain presurgery clearance documents and a full-time virtual assistant who assists with authorizations and booking. This role includes but is not limited to scheduling patients for surgery and other surgery-related appointments, booking surgery with the surgery center or hospital, communicate with patients about pre-surgery requirements and post-surgery questions, ensuring authorization and appropriate presurgical clearances are obtained prior to surgery date, and assisting providers with coordinating urgent surgeries. To excel in this role, the ideal applicant must possess strong communication skills, attention to details, proficient computer skills, and an understanding of surgery coding. Primary Responsibilities Maintain surgical scheduling system & schedule patients for surgical procedures, as well as pre- and post-op appointments Complete & verify patient paperwork for scheduling surgical procedures Contact insurance carriers for prior authorization & coverage information for surgical procedures, handle the verification of insurance benefits for patients and complete prior authorizations Verify physician orders for appointments & coordinate with ambulatory surgery centers, hospitals, and hardware representatives as needed Complete FMLA/Disability leave paperwork for patients Contact other medical offices as needed to obtain presurgical clearance reports Serve as liaison between the office and surgery centers regarding surgery block management (utilization, optimization, coordination, and confirmation), proctoring and privileges, scheduling (booking and availability), hardware coordination, case review, and completion of operative reports Keep sensitive patient and company information confidential Contacts patient as needed to obtain information Other job duties as it relates to this role Qualifications and Skills High school diploma or GED Associate degree preferred EMR experienced required; Epic and Athena experience strongly preferred Familiar with medical terminology Experience with surgical CPT codes strongly preferred HIPAA compliance experience required Professional telephone, verbal & written communication skills 1+ years of surgical scheduling experience preferred High proficiency with keyboard, computers (MS Suite/Outlook/Word), online portals & electronic medical records required
