Referrals Manager Celebrating Life Community Health Center - 4.0 Mission Viejo, CA Job Details Full-time $28 - $31 an hour 1 day ago Benefits Health insurance Dental insurance Employee assistance program 401(k) matching Qualifications Bilingual Healthcare Administration Public Health Decision making Problem-solving Medical referrals Associate's degree Process management Leadership Full Job Description The Referral Manager is responsible for overseeing the referral process across Celebrating Life Community Health Center to ensure timely, accurate, and efficient coordination of patient referrals to specialty care and external services. This role manages referral staff, monitors productivity and referral workflows, ensures compliance with payer requirements, and works collaboratively with providers and care teams to improve patient access to specialty services.
Classification :
Non- Exempt employee, $28 - 31 per hour; Full-time 40 hours per week; This position is not classified as exempt under the Fair Labor Standards Act (FLSA), and as such, you are eligible for overtime pay. Essential Duties and Responsibilities
  • Oversee daily operations of the referral department and ensure timely processing of patient referrals.
  • Ensure referrals are submitted, tracked, and completed according to clinic policies and payer guidelines.
  • Develop and maintain referral workflows that support efficient patient care coordination.
  • Monitor referral queues and worklists within the electronic health record (EHR).
  • Track referral team productivity and performance metrics, including turnaround time and referral completion rates.
  • Generate and review reports on referral volume, processing time, and outcomes.
  • Identify workflow inefficiencies and implement process improvements.
  • Ensure staff meet departmental productivity and quality standards.
  • Supervise and support referral coordinators and referral specialists.
  • Provide training, coaching, and performance evaluations.
  • Schedule staff coverage and manage workload distribution.
  • Foster a collaborative and patient-centered work environment.
  • Ensure referral processes comply with regulatory requirements, payer rules, and clinic policies.
  • Monitor documentation accuracy and completeness within the EHR.
  • Support internal audits and quality improvement initiatives related to referrals. Provider and Patient Coordination
  • Collaborate with providers, medical assistants, and care teams to clarify referral requirements.
  • Assist in resolving referral-related issues or delays affecting patient care.
  • Maintain relationships with specialty providers and community partners. Data and Reporting
  • Prepare monthly productivity and referral management reports for leadership.
  • Analyze referral trends to support strategic planning and patient access improvements.
Education and Experience:
  • Associate's or Bachelor's degree in Healthcare Administration, Public Health, or a related field preferred.
  • 4-5 years of experience in healthcare referrals, care coordination, or medical office operations.
  • At least 1-2 years of supervisory or team lead experience preferred.
  • Experience working in community health centers or FQHC settings is highly desirable.
Pay:
$28.00 - $31.00 per hour
