Patient Care Coordinator Luxury Medical Spa | Full-Time About SkinFX Medical Spa SkinFX Medical Spa is a premier aesthetic practice dedicated to delivering exceptional patient care through advanced treatments, personalized treatment plans, and an elevated luxury experience. Our team is passionate about helping clients look and feel their best while creating meaningful, long-lasting relationships. We are looking for an energetic, polished, and service-driven Patient Care Coordinator who thrives in a fast-paced environment and enjoys building relationships with patients. This is not a traditional receptionist position. You will be an integral part of our patient experience team and will play a direct role in the continued growth and success of the practice. Position Summary The Patient Care Coordinator serves as the first and last impression of SkinFX Medical Spa. This individual is responsible for creating an exceptional patient experience while coordinating appointments, educating patients on treatments, supporting providers, and helping patients make informed decisions regarding services, memberships, and treatment plans. Success in this position requires a combination of hospitality, organization, communication, and consultative sales skills. What You'll Do Patient Experience Welcome every patient with professionalism, warmth, and enthusiasm Create a five-star luxury experience from check-in through checkout Build genuine relationships with new and returning patients Resolve patient concerns professionally and efficiently Maintain an immaculate and organized reception area Scheduling & Coordination Schedule consultations and treatments efficiently Optimize provider schedules to maximize productivity Confirm appointments and reduce cancellations and no-shows Coordinate patient follow-up appointments Maintain accurate patient records Process payments and financing options Support daily office operations Sales & Patient Education A significant part of this role involves educating patients and helping them select treatments that best fit their goals.
Responsibilities include:
Converting phone, text, website, and social media inquiries into booked consultations Educating patients on available treatments and services Recommending appropriate treatment plans based on provider recommendations Promoting memberships and package pricing Recommending skincare products and retail items Encouraging treatment upgrades when appropriate Increasing patient retention through exceptional service and follow-up Assisting patients in understanding financing options Helping patients feel confident in moving forward with treatment Our philosophy is simple: We never pressure patients. We educate, build trust, and help patients make informed decisions.
