We are looking for a highly motivated, sales-oriented leader who can deliver an exceptional patient experience while taking direct ownership of lead conversion and revenue growth. This is not a traditional administrative office manager position. Our Office Manager oversees daily operations and administration. The Revenue & Patient Experience Manager is responsible for converting patient interest into appointments, treatment plans, memberships, packages, and collected revenue. Position Summary The Revenue & Patient Experience Manager will lead our front-office sales and patient conversion process. This individual will manage incoming leads, guide patients through their treatment options, follow up on proposed treatment plans, reactivate existing patients, and help maximize provider schedules. The ideal candidate is proactive, confident discussing pricing, highly organized, comfortable working toward measurable sales goals, and capable of identifying and executing new revenue opportunities. Key Responsibilities Manage incoming phone calls, texts, website leads, social media inquiries, and other patient communications Respond to new leads quickly and convert inquiries into booked consultations and appointments Conduct phone consultations and confidently explain our treatments, memberships, packages, and promotions Provide patients with pricing and financing information Review treatment plans and recommendations with patients following provider consultations Consistently follow up with unbooked leads and patients who have not moved forward with treatment Reactivate inactive patients through strategic calls, texts, and campaigns Fill cancellations and unused provider availability Manage appointment confirmations, deposits, waitlists, cancellations, and no-shows Promote memberships, treatment packages, skincare products, and appropriate complementary services Monitor lead sources, booking rates, conversion rates, schedule utilization, average transaction value, and collected revenue Prepare daily and weekly revenue forecasts Develop and execute initiatives to increase patient retention and monthly revenue Work with the clinical team to improve consultations and patient recommendations Coordinate with the Office Manager regarding staffing, scheduling capacity, and operational needs Maintain a polished, welcoming, and high-touch patient experience Provide front-desk coverage and support the patient journey from initial inquiry through checkout and follow-up Performance Expectations Success in this position will be measured through: Lead response time Lead-to-appointment conversion Consultation-to-purchase conversion Treatment-plan follow-up Membership and package sales Patient reactivation Provider schedule utilization No-show and cancellation rates Average transaction value Monthly collected revenue Qualifications Previous experience in medical aesthetics, cosmetic medicine, plastic surgery, luxury wellness, dental sales, hospitality, automotive sales, or another high-touch consultative sales environment Demonstrated ability to meet or exceed sales or revenue targets Strong phone, written, and in-person communication skills Confidence discussing pricing and asking patients to move forward with treatment Excellent follow-up, organization, and time-management skills Comfortable using CRM, scheduling, texting, and practice-management platforms Ability to monitor performance metrics and use data to guide daily priorities Professional appearance and a warm, polished communication style Ability to manage multiple leads and patient interactions without losing attention to detail Available to work on-site in Santa Clara, including select weekends as needed Medical aesthetics experience is preferred but not required. We are willing to train a strong consultative salesperson who is motivated to learn the industry. What We're Looking For We are looking for someone who takes ownership.
