Part time with potential for full time Reports to: FounderAbout the RoleThis role blends the operational backbone of the clinic with the very first impression patients have of RENEW. You'll keep the clinic running smoothly behind the scenes (scheduling, billing support, vendor coordination, and the dozens of small operational details that let the provider focus on patients instead of paperwork) while also being the warm, unhurried face and voice patients meet at every touchpoint: on the phone, at check in, and throughout their visit. You'll be one of the first hires shaping how this clinic actually operates day to day, and the person who makes every patient feel heard from the very first hello. Key Responsibilities Manage day to day office administration: scheduling, intake coordination, supply ordering Greet and check in patients, creating a warm and unhurried first impression Answer phones and respond to patient inquiries promptly and professionally Schedule and confirm appointments, manage the daily schedule, and handle checkout, payments, and next appointment booking Coordinate with vendors (labs, supplement dispensary, technology platforms) Maintain clinic operations: inventory, records organization, opening/closing procedures Support patient communication workflows (appointment reminders, follow ups, billing questions) Support the clinic providers and management with ad hoc administrative needs Help maintain HIPAA compliant processes across all administrative work Represent RENEW's brand voice in every interaction: validating, warm, never rushed or clinical feeling Qualifications Experience in a medical office, healthcare administration, or similarly regulated setting preferred Customer service or front desk experience; healthcare setting a plus but not required Naturally warm, patient, and professional communication style Comfortable multitasking in a fast paced environment without losing warmth Comfortable learning and managing multiple software systems (EHR, scheduling, payments) Highly organized, detail oriented, and calm under a busy schedule Excited to be a part of a brand new clinic and get to help shape an incredible patient experience What RENEW Offers $22
