Job Description
Hello Hearing Studios is a fast growing, owner-led hearing care business with 5 locations throughout beautiful Denver, Colorado. We are looking for a Patient Care Coordinator that wants to join our small but fast growing team as soon as possible. About the Role As our Patient Care Coordinator, you are the first smile our patients see when they walk through the door, and often the first voice they hear on the phone. This is a fast-paced, front-of-house role that blends customer service, medical office coordination, and day-to-day technology use, so we're looking for someone who is genuinely personable, highly organized, and comfortable learning new systems. The ideal candidate has previous experience in a front desk, medical office, or patient/customer coordination role, is naturally warm and outgoing with patients, and is tech-savvy enough to confidently juggle multiple software systems and administrative tasks at once without losing track of details. Responsibilities Your day-to-day will include but not be limited to: Answering incoming phone calls Returning voicemails and text messages Confirming, rescheduling, and canceling appointments via phone and text; consolidating appointments for schedule efficiency Conducting daily "to dos" e.g., checking in with patients, following up on orders, placing orders Managing incoming and outgoing product inventory Placing orders Checking patients in at the office and ensuring all patient intake information is correct Verifying patient insurance benefits Navigating and maintaining accurate records across multiple software systems (scheduling, practice management, insurance verification portals, and more) Helping with minor client tasks when necessary, such as changing hearing aid parts or helping a patient connect their smartphone What We're Looking For Prior front desk / medical office experience. You've worked in a medical office, healthcare front desk, or similar patient/customer coordination role and understand the pace and responsibility that comes with it. Tech-savvy. You're comfortable learning and working across multiple software systems and platforms (scheduling, practice management, insurance verification, etc.) and pick up new tools quickly. Strong multitasker. You can manage a ringing phone, a patient at the front desk, and an unfinished to-do list at the same time without missing a beat. Highly organized. Details don't slip through the cracks on your watch — especially when it comes to patient intake and insurance information. Personable and outgoing. You genuinely enjoy people and bring warmth and energy to every interaction, in person and over the phone. Team player. We're a close-knit team that has a lot of fun together, and we're looking for someone who enjoys brightening up the room as much as we do. Flexible and adaptive.
