Job Summary:
We are seeking a highly skilled Patient Care Coordinator/Office Manager with a strong commitment to customer service, patient education, and preventative care . The ideal candidate thrives in a fast-paced setting, communicates effectively with patients, and is eager to expand their expertise in eye care across our two centers in Farmington, CT and West Hartford Center.
Key Responsibilities:
Patient Experience and Communication:
Provide excellent customer service, ensuring a welcoming and informative patient experience. Greet patients warmly and professionally (in person, phone, text and email). Explain office processes, exam flow and what patients can expect. Educate patients on services (comprehensive eye examination, specialty clinics, vision therapy and dry eye.) Handle patient questions and concerns with empathy and professionalism. Scheduling and Appointment Coordination Manage pre-appointing, recalls, confirmations and follow ups Schedule new and existing patients efficiently Collaborate with doctors and the clinical team to ensure seamless patient flow and experience. Insurance & Financial Coordination Explain coverage, copays, deductibles and out of pocket expenses Collect copays at the time of service Coordinate billing questions with the billing department Reinforce doctor recommendations for scheduling, OTC supplements and contact lenses Administration & Documentation Duties Maintain accurate patient records in EHR Scan and upload documents Track referrals and outside records Manage consent forms, portal completion and intake paperwork Practice Growth & Retention Promote annual eye exams and follow up care Build long-term patient relationships Encourage reviews and referrals Professionalism & Team Culture Represent the practice's values and brand Maintain HIPAA compliance Participate in training and team development
Qualifications:
Experience as an Patient Coordinator or Office Manage with interest in a patient facing role. Strong customer service skills with a patient-first mindset. Passion for patient education and preventative eye care. Ability to work efficiently in a team-oriented, fast-paced environment. Proficiency in EMR systems and basic ophthalmic terminology is preferred. Why Join Us?

Hours:
Full-Time. Monday-Friday with rotational Saturdays.
