Our patients feel the difference the moment they walk in the door, and a big reason for that is the person sitting at the front. We're growing, and we need someone who can grow with us. The Role This is not a typical receptionist position. The title is Patient Experience Coordinator because that's exactly what the job is — you are the first impression, the last impression, and everything in between for every patient who calls, texts, or walks through our door. You'll report directly to our Office Manager and work closely with the entire clinical team.
The goal is simple:
run the front of this practice so well that leadership can focus on growing it. That means handling phones, scheduling, check-ins, and patient questions with confidence and accuracy — without being told twice how to do something. If you've worked a high-volume hotel front desk or managed a packed dining room on a Saturday night, you already know what this feels like. The pace is fast, the expectations are high, and the reward is real. What You'll Be Doing Owning the phones. Every call answered promptly and professionally. New patient inquiries handled warmly and converted. Existing patient questions resolved accurately. You are the voice of this practice. Managing the schedule. Appointments confirmed, reminders sent, cancellations filled. You keep the day moving. Welcoming patients. Check-ins, paperwork, insurance verification, and making sure every patient feels like they were expected and valued. Handling treatment paperwork and financial conversations. Working with OrthoFi to walk patients through payment options clearly and confidently. You don't need a finance degree — you need to be comfortable with numbers and honest with people. Keeping the front desk running. End-of-day close-out, records, communication logs — done right, every day. Supporting the Office Manager. When she's not in the building, you're not waiting for instructions. You're handling it.

What We're Looking For Must-haves:
Fully bilingual — English and Spanish, spoken and written. This is not optional. Our patient base requires it. Reliable. Five days a week, on time, every time. If your attendance history has gaps, this isn't the right fit. Smart and self-directed. You learn by doing, ask good questions when you're stuck, and don't need someone looking over your shoulder to do your job well. Comfortable with technology. We use Cloud9 Ortho and OrthoFi — both are learnable quickly, but you need to be genuinely comfortable navigating software, not resistant to it. Strong communicator. Warm on the phone, professional in writing, clear in person. Patients trust you before they trust us. Located in or near North Miami Beach. We need someone who can show up consistently — long commutes create reliability risk. Strong pluses (not required): Background in hospitality, hotel front desk, restaurant hosting, or any high-volume customer-facing role Prior dental or medical office experience Familiarity with insurance verification or patient financial conversations What You Won't Find Here Micromanagement.
