Job Description

Position Overview Pediatric Gastroenterology Associates (PEDGA) is seeking a results-driven Practice Administrator responsible for overseeing the performance of all departments and ensuring operational excellence across the practice. This role serves as the operational bridge between physicians and the business side of the organization, driving efficiency, accountability, and growth. Key Responsibilities 1. Operations Management Oversee daily operations of the medical practice, including revenue cycle and all departments. Ensure efficient patient flow, scheduling, and front/back office coordination. Implement policies and process improvements. Monitor departmental performance metrics. 2. Staff Management Recruit, hire, train, and supervise administrative and clinical support staff. Conduct performance evaluations and manage scheduling. Develop accountability systems for department leads. Foster a high-performance, service-oriented culture. 3. Compliance & Regulatory Awareness Maintain working knowledge of healthcare regulations (HIPAA, OSHA, payer requirements). Ensure documentation, licenses, and accreditation requirements are maintained (oversight). Coordinate with compliance personnel as needed. 4. Strategic Planning Partner with physicians to drive practice growth and efficiency. Evaluate new services, technologies, or expansion opportunities. Develop initiatives to improve profitability and operational effectiveness. 5. Patient Experience & Communication Address escalated patient concerns. Improve systems that enhance patient satisfaction. Monitor feedback and service quality. 6. Financial Knowledge Knowledge of budgets, revenue, and expenses. Maintain working knowledge of billing, coding, collections, and insurance reimbursement processes. Partner with billing/compliance personnel to improve performance. Key Performance Indicators (KPIs) The Practice Administrator will be evaluated based on: Operational Performance Appointment utilization rate Provider productivity metrics Financial Performance Revenue growth targets Expense control within approved budget Improvement in Net Collection Ratio Monitor and maintain optimal A/R performance Staff Performance Timely performance evaluations Departmental KPIs Patient Experience Patient satisfaction scores Patient Retention Strategic Impact Successful implementation of new operational initiatives Completion of growth or efficiency projects Meeting quarterly performance goals set with physicians Qualifications Minimum 3 years of management experience (healthcare required). Experience in medical practice administration required. Strong understanding of practice operations and financial performance. Working knowledge of billing, coding, and compliance. Demonstrated leadership and team management ability. Strong analytical and problem-solving skills.
