Medical Assistant / Patient CoordinatorAbout Us Alpha Medicine and Rehab is a healthcare facility specializing in rehabilitation services, including physical therapy, orthopedics, pain management, and neurology. We provide comprehensive care to help individuals recover from injuries, surgeries, and other medical conditions, with the goal of restoring function and improving overall quality of life. Position Overview We are seeking a detail-oriented, organized, compassionate, and bilingual Medical Assistant / Patient Coordinator to join our dynamic healthcare team. This position combines clinical and administrative responsibilities and plays a vital role in providing exceptional patient care, supporting healthcare providers, coordinating patient services, and ensuring efficient daily operations. The ideal candidate will be comfortable working in a fast-paced medical environment, interacting professionally and compassionately with patients, and collaborating with physicians and other healthcare professionals. The successful candidate will help ensure smooth patient flow while maintaining accurate medical records, supporting clinical procedures, and providing excellent customer service. This is a full-time, on-site position. English and Spanish proficiency is required.
Hours:
Monday-Friday, 9:00 AM-6:00 PM, with a one-hour lunch break. Responsibilities Clinical & Patient Care Greet, check in, and assist patients throughout their visit. Assist physicians and healthcare providers with patient office visits, including rooming patients and preparing them for examinations. Interview patients and document relevant information accurately in the electronic health record (EHR). Obtain and record vital signs, including pulse, blood pressure, height, and weight. Verify patient information using two patient identifiers. Verify clinical laboratory test orders and report discrepancies to the appropriate clinical staff. Determine the appropriate method for obtaining blood samples based on individual patient needs. Obtain blood specimens through venipuncture and finger sticks. Properly label, track, and document collected specimens, including initials, dates, and collection times. Maintain daily tallies of specimens collected and procedures performed. Dispose of contaminated sharps in accordance with applicable laws, regulations, and facility policies. Follow infection control standards and safety procedures at all times. Maintain quality patient care by following department procedures, professional standards, and applicable legal regulations. Patient Coordination & Administrative Support Schedule and confirm patient appointments, follow-ups, and other required visits. Coordinate and send referrals based on provider recommendations. Verify patient insurance information and assist with insurance-related documentation. Prepare and review patient charts at least 72 hours prior to scheduled appointments. Review charts for completeness and identify missing or required information. Utilize appropriate internal and external resources to obtain missing documentation or information. Scan, upload, and maintain accurate patient records in the electronic health record system. Assist patients with completing forms, paperwork, and other required documentation. Complete administrative forms and process prescription refill requests and referrals as directed. Prepare and provide appropriate patient education materials. Maintain confidentiality and ensure patient information is handled securely and accurately. Communicate effectively with patients, healthcare providers, insurance companies, referral sources, and other members of the healthcare team. Office & Clinical Environment Prepare and organize examination rooms for patient visits. Clean, maintain, and restock examination rooms and clinical supplies. Help maintain efficient patient flow throughout the office. Support physicians and clinical staff with day-to-day operations. Work collaboratively with a multidisciplinary healthcare team across departments. Maintain a professional, welcoming, and patient-centered environment. Qualifications & Requirements Previous experience as a Medical Assistant, Patient Coordinator, or in a similar medical office position . Experience working in a healthcare or medical office setting. Fluent in English and Spanish. Knowledge of medical terminology, anatomy, physiology, ICD coding, and medication administration procedures. Hands-on experience with electronic health record (EHR) systems. Ability to accurately and securely manage patient information. Experience with venipuncture and finger-stick blood collection preferred. Strong patient service and communication skills. Professional, compassionate, and friendly demeanor. Excellent organizational and time-management skills. Ability to multitask and prioritize responsibilities in a fast-paced environment. Strong attention to detail and accuracy. Ability to work effectively both independently and as part of a multidisciplinary healthcare team. Ability to maintain patient confidentiality and comply with applicable healthcare regulations and policies. Preferred Experience Experience in a physical therapy, chiropractic, orthopedic, rehabilitation, pain management, or neurology clinic is a strong plus.
