Join a Team That Makes Every Visit Special Our established private pediatric dental practice is seeking a friendly, compassionate, and highly organized Patient Coordinator to join our team. For 14 years, our office has built an outstanding reputation by providing exceptional care and creating positive, memorable experiences for children and their families. The Patient Coordinator is often the first and last person our families interact with, making this position essential to the overall patient experience. We are looking for someone who genuinely enjoys helping others, communicates with warmth and professionalism, and understands that even the smallest details can make a family feel welcomed and valued. Position Overview The Patient Coordinator is responsible for creating a welcoming environment, supporting families throughout their visit, and ensuring that front-office operations run smoothly and efficiently. The ideal candidate is upbeat, dependable, attentive to detail, and able to provide exceptional service in a busy pediatric setting. Key Responsibilities Warmly welcome patients and families upon arrival. Create a positive, caring, and engaging experience for every child and parent. Answer telephone calls, text messages, and emails in a friendly and professional manner. Schedule and confirm appointments while maintaining an efficient patient schedule. Assist families with registration forms, insurance information, and general questions. Verify patient information and ensure records are accurate and complete. Clearly explain office policies, appointment expectations, and financial responsibilities. Collect and process patient payments. Coordinate communication between patients, parents, clinical team members, and doctors. Help families feel comfortable when they are nervous, frustrated, or uncertain. Monitor the reception area and help maintain a clean, organized, and welcoming environment. Follow up with families regarding appointments, treatment, or outstanding information. Protect patient confidentiality and follow all HIPAA requirements. Support other administrative and front-office duties as needed Qualifications Previous dental experience is required. Pediatric dental experience is a plus but not required. Excellent communication and interpersonal skills. A warm, friendly, and professional personality. Strong organizational skills and attention to detail. Ability to multitask and remain calm in a busy environment. Dependable, punctual, and committed to being a supportive team member. Comfortable using computers, scheduling software, email, and telephone systems. Ability to communicate professionally with children, parents, coworkers, and healthcare professionals.
