About Us At 4Ever Young Wellington, we are focused on delivering exceptional patient experiences in aesthetics, wellness, hormone optimization, medically assisted weight loss, and anti-aging medicine. We are a fast-growing, luxury wellness and MedSpa practice seeking a highly motivated, organized, and energetic In-House Call Center / Patient Coordinator to join our team. This is a high-impact role focused on lead follow-up, appointment setting, patient communication, and helping convert inquiries into booked consultations and long-term patients. Position Overview The In-House Call Center / Patient Coordinator will serve as the first point of contact for prospective patients. This individual will be responsible for rapidly responding to leads, nurturing prospective patients, scheduling consultations, confirming appointments, and helping maximize conversion rates and provider utilization. The ideal candidate is highly personable, sales-oriented, detail-oriented, and thrives in a fast-paced, performance-driven environment. Key Responsibilities Promptly respond to inbound leads via phone, text, email, website inquiries, and social media Follow up consistently with prospective patients to schedule consultations and treatments Confirm appointments and reduce no-show rates through proactive communication Maintain detailed and accurate notes in CRM and scheduling systems Re-engage inactive leads and previous patients through outbound follow-up campaigns Coordinate closely with providers, injectors, and front desk staff to optimize scheduling Educate potential patients on available services, memberships, and promotions Help drive consultation-to-treatment conversion rates Assist with managing online inquiries generated through marketing campaigns Maintain professional, compassionate, and luxury-level customer service standards Support practice growth initiatives and patient retention efforts Qualifications Previous experience in a MedSpa, aesthetics, cosmetic surgery, wellness, or medical office preferred Prior call center, patient coordination, inside sales, or appointment setting experience strongly preferred Strong phone communication and customer service skills Comfortable handling a high volume of calls, texts, and follow-ups Sales-oriented mindset with ability to build rapport and convert leads Experience with CRM and scheduling software preferred Highly organized with strong attention to detail Positive attitude, professionalism, and reliability required Compensation & Benefits Competitive base compensation Performance bonuses tied to lead conversion and appointment metrics Growth opportunities within a rapidly expanding MedSpa Employee discounts on treatments and wellness services Supportive and energetic team environment Schedule Full-time In-person position based in Wellington, FL Some evenings and weekends may be required How to Apply Please submit your resume along with a brief summary of your experience in patient coordination, sales, customer service, or appointment setting.
