Job Description

Patient Experience Coordinator —
Location:
Wailea, Maui, HI | Full-Time | In-Office Makena Health is a concierge primary care and longevity medicine practice based in Wailea. We serve a small, carefully selected group of patients, and every interaction they have with this office — from their first inquiry to their follow-up after a visit — reflects the standard they expect in every other part of their life. We are looking for the person who will own that standard at the front of house. This is not a typical medical receptionist role. The person in this seat manages scheduling across a physician, a PA, and an RN, coordinates complex logistics for patients who expect things to work the first time, handles intake and onboarding, fields sensitive communications, and keeps the operational engine of a small practice running without being asked twice. On any given morning, you may be triaging a patient message, uploading chart documents, coordinating a house call, and prepping for a new member consultation — and you will do all of it without dropping a thread. The benchmark for this role is closer to a C-level executive assistant or front desk at a luxury hotel than anything found in a conventional medical office. What you'll do: Manage all patient scheduling and appointment coordination for the clinical team. Handle inbound patient calls, texts, and emails with the tone and polish of a luxury hospitality brand. Manage new patient intake, including onboarding documents and chart uploads to Elation. Stay two steps ahead of issues before they reach the physician or the patient. Close the loop on every task without being reminded. Support the operations lead with administrative tasks, vendor communication, and day-to-day practice logistics. Own your role without being managed into it. What we're looking for: You are a natural multitasker who does not spiral under pressure, and you are the kind of person who figures things out without needing to ask the same question twice. You know how to find the answer. You are comfortable with technology and learn new platforms quickly, including EHR systems, scheduling tools, and communication platforms. You are proficient in Microsoft Office and Google Workspace, and you are comfortable working with AI tools like Claude and ChatGPT as part of your daily workflow. You communicate in writing with clarity and warmth, and you understand the difference between clinical discretion and casual chat. You have experience working with high-expectations clients or patients, and you take their experience personally. We are a small team, and the standard is high. That said, the culture here is calm, the work is meaningful, and the people we serve are genuinely engaged in their health. If you thrive when the bar is set high and the work is varied, this is the right place. Experience in a medical or healthcare setting is a plus, but not required. What matters more is that you've worked somewhere the bar was genuinely high and you thrived there. You'll be set up with a structured onboarding period and direct access to the operations lead as you get up to speed, but the expectation from day one is that you take ownership of your learning
Compensation:
$27-$32/hour, commensurate with background and fit. Full-time, Monday through Friday. Benefits include health, vision, and dental insurance through HMSA, a retirement plan with company match, paid vacation, and 8 paid holidays. This is an in-office role in Wailea.
