Welcome Smiles is a private, two-doctor family practice providing general and specialized dental care to a large patient base in Auburn and surrounding towns of central Massachusetts. Our discerning patients highly value their oral health care decisions. Drs. Mehta and Craigen lead a team of 15 dedicated, lively professionals. Many team members have been with us for over a decade, while recent additions have further enhanced our vibrant and diverse office culture. At Welcome Smiles, we pride ourselves on collaboration, light-hearted fun, and exceptional teamwork.
Role Summary:
As our Front Desk Administrator and Patient Care Advocate, you'll be the linchpin of our patients' care experience. This role demands strong reception management, customer service, and administrative skills. You must excel at coordinating with others, multitasking, making quick decisions, and prioritizing tasks while consistently representing our practice with courtesy and professionalism.
Key Responsibilities:
Reception Management:
Create a welcoming atmosphere, greeting patients warmly Manage efficient patient check-out processes Handle inquiries professionally via phone and in person
Customer Service:
Deliver exceptional service, promptly addressing patient needs and concerns Manage appointment scheduling, rescheduling, and cancellations Collaborate with dental professionals to optimize schedules and ensure patient satisfaction
Administrative Duties:
Maintain and update electronic patient records and appointments Securely scan and file confidential documents Assist with financial treatment plans and patient consultations Coordinate complex, multi-step treatment plans
Qualifications:
Proven experience in reception, customer service, or administration Strong organizational and multitasking abilities Excellent communication and interpersonal skills Self-motivated team player Some college education preferred Proficiency in Microsoft Office suite with 40+ WPM typing speed Dental field experience is a plus, but not required (training provided)
