- Full-time Help Build the Operational Engine Behind Personalized Patient Care Ixcela is growing quickly, and we are looking for a highly organized, proactive Operations Manager to help keep our patient care experience running smoothly from start to finish.
You'll play a central role in supporting patients, coordinating logistics, managing test kit operations, assisting with insurance and credentialing workflows, and helping our clinical and operations teams stay aligned. This is a high-impact role where organization, problem-solving, communication, and attention to detail matter every single day. You'll help ensure patients are prepared for their dietitian sessions, providers have the information they need, test kits arrive on time, and operational systems continue to scale as Ixcela grows. Candidates must commute to Ixcela's office in Beverly, MA, 5 days per week.

- Role Overview As Operations Manager , you will play a critical role in supporting the day-to-day operations that keep Ixcela running smoothly.
You'll help ensure patients are prepared for dietitian sessions, coordinate logistics for blood test kits, support insurance and credentialing workflows, and serve as a key operational bridge between patients, providers, dietitians, billing, and the laboratory team. This is a highly collaborative role that combines patient operations, customer support, logistics coordination, insurance administration, and provider credentialing support. - What Success Looks Like Your performance will be measured by: Smooth patient session flow and reduced scheduling disruptions Accurate and timely processing of patient referrals and insurance information Efficient shipping, inventory management, and tracking of Ixcela test kits Strong patient satisfaction and customer support responsiveness Accurate operational documentation and billing preparation Timely provider licensing, credentialing, and renewal management•Duties & Responsibilities Patient Operations & Customer Support Manage patient session readiness by confirming completion of forms, tests, insurance information, and intake requirements Help patients reschedule appointments as needed Provide outstanding customer service support via phone, email, and messaging Support patient outreach efforts in collaboration with the Ixcela team Provide technical support for patients accessing telehealth appointments Confirm completed sessions have appropriate documentation finalized Contact patients regarding insurance denials and transition to private-pay workflows when needed Blood Test Kit Operations & Logistics Help assemble, ship, and track Ixcela Blood Metabolite Test Kits Maintain organized inventory of kits and operational supplies Monitor stock levels and coordinate inventory ordering Ensure all kit types are assembled and available as needed Work closely with the Clinical Laboratory Manager on kit fulfillment operations Track shipments and proactively resolve lost or delayed package issues Referral & Billing Operations Process faxed and electronic patient referrals into Ixcela's EMR Verify referral information includes accurate patient and provider information Prepare insurance claims for billing workflows Coordinate with the Insurance Billing Team to prepare claims for submission Confirm cash-pay sessions are properly billed and tracked Licensing & Credentialing Support Support provider licensing and credentialing processes under guidance from leadership Track provider licenses, renewals, and credentialing deadlines across multiple states Support provider CAQH profiles and updates Assist in completing insurance in-network applications for new provider hires Support troubleshooting and follow-up for credentialing-related issues Administrative & Operational Support Process incoming office mail and operational paperwork Assist finance team with operational expense tracking Help manage company calendars related to annual renewals, audits, dues, and contracts Identify operational bottlenecks and recommend workflow improvements Support additional operational projects as Ixcela continues to scale•Skills & Qualifications 2-5+ years of operations, healthcare administration, medical office, care coordination, or customer service experience preferred Experience working in healthcare, telehealth, laboratory, insurance, or clinical environments strongly preferred Exceptional organizational and multitasking skills Strong attention to detail and follow-through Excellent written and verbal communication skills Comfortable managing multiple systems, workflows, and priorities simultaneously Ability to work independently while collaborating across teams Proficiency with Google Workspace, spreadsheets, and operational software systems Bachelor's degree•Preferred Experience (Not Required) Patient intake, care coordination, or medical office experience Insurance verification experience Experience with Practice Better, EHR systems, or CRM tools Healthcare, nutrition, or wellness industry exposure•Benefits include: Three weeks paid vacation Medical & Dental Insurance Eligibility for Employee Stock Option Plan Requirements when applying for this position: Submit resume Answer the application questions The interview process will include reviewing example session notes.
