Position Summary:
The Patient Service Coordinator I works under close supervision to support the administrative operations of a pediatric clinical practice and ensure a positive, family-centered patient experience. This role serves as a primary point of contact for patients and families, coordinating front desk activities and facilitating access to care. The PSC I performs a variety of administrative and customer service functions requiring foundational knowledge of practice operations, scheduling processes, and insurance workflows, while demonstrating professionalism, empathy, and attention to detail.Key Responsibilities:
- Provides positive, respectful, and family-centered customer service to patients, families, and caregivers; responds to routine inquiries and escalates complex concerns as appropriate
- Greets, registers, and checks in patients; verifies and updates demographic, insurance, and guarantor information; assists with patient portal enrollment and access
- Schedules, reschedules, and confirms patient appointments under established guidelines; monitors daily schedules and communicates with team members to support patient flow
- Prepares routine forms and documentation for patient visits; ensures required consents and documentation are completed
- Collects copayments and outstanding balances and ensures accurate documentation of transactions
- Performs basic insurance eligibility checks using standard workflows and escalates discrepancies or complex coverage issues
- Answers, screens, and routes incoming calls; retrieves and responds to routine messages and escalates clinical or urgent concerns appropriately
- Processes incoming documents, including faxes and forms; ensures accurate scanning, indexing, and routing within the medical record
- Completes assigned administrative work queues and routine follow-up tasks under guidance
- Communicates effectively with clinical and administrative staff to support coordination of care and resolve routine issues
- Participates in team huddles, trainings, and departmental initiatives; supports process improvement efforts and adoption of new workflows
- Maintains a clean, organized, and welcoming front desk and waiting area, contributing to a safe and child-friendly environment
Minimum Qualifications Education:
- High School Diploma or GED required
Experience:
- Prior customer service or administrative experience preferred
- Basic computer skills and ability to learn electronic medical record (EMR) systems
