Job Description

Dickstein Physical Therapy is an established, patient-centered orthopedic physical therapy practice in downtown Bethesda. We are known for one-on-one care and a warm, personal patient experience. Our front desk is the face of the clinic and a big reason patients trust us and refer their friends. We are growing and adding part-time front desk support to work alongside our lead front desk coordinator.
WHAT YOU WILL DO
You will be the welcoming first point of contact for patients in person and on the phone, and you will keep the day running smoothly behind the scenes.
Day to day this includes:
Greeting and checking patients in and out, and scheduling follow-up visits Answering phones, returning voicemails, and responding to email Handling new patient inquiries with warmth and care, gathering their information, and getting them scheduled for an evaluation Scheduling and managing the calendar in our EMR (TheraOffice), including new patients and return visits Collecting payments at the time of service and providing receipts Entering and verifying insurance and patient information accurately Logging calls, messages, and patient interactions in our operations system (Notion) Preparing for the day ahead: confirming the schedule, flagging gaps, and making sure paperwork and intake forms are complete Sending statements and helping patients with basic billing questions, escalating when needed Writing clear handoff notes so nothing falls through the cracks
WHAT WE ARE LOOKING FOR
Reliable and punctual. This is an in-person, coverage-critical role, so dependable attendance is essential. Genuinely warm and personable on the phone and in person. Patients should feel cared for. Organized and detail-oriented. You like checklists, finishing tasks, and keeping systems tidy. Comfortable with technology and quick to learn scheduling, EMR, and payment software. Calm and professional under pressure, including with billing or scheduling. Discreet with confidential health and patient information (HIPAA).
NICE TO HAVE
(not required) Prior front desk, medical office, or healthcare scheduling experience Experience with an EMR, Notion, or point-of-sale/payment systems (Square) Familiarity with insurance and Medicare basics Spanish or other second language
