Job Description

Rare Opportunity Due to One of Our Front Office Staff Attending Assisting School!!! Cambridge Dental Center in Cambridge, MN looking for Full-Time Front Desk Coordinator. We are a fast pace, fun, and growing office with up-to-date technology. We provide many staff activities both in and outside of the office! We pride ourselves on serving our community for over 50 years! 1+ years of Dental Office or Medical Office experience required to apply Scheduled Hours vary to accommodate office hours of Monday
  • Friday 7:00 am
  • 7:00 pm (1) shift Monday or Thursday will be 11:00 am
  • 7:00 pm) Reception Management
  • Open and close dental office according to office protocol
  • Check the daily schedule for accuracy
  • Answer and respond to telephone calls with professionalism
  • Maintain petty cash Patient Management
  • Maintain a professional reception area/office; organize patient education materials, keep the facility neat, etc.
  • Greet and welcome patients and visitors to the practice
  • Check-in patients according to office protocol, verifying and updating health information
  • Manage recall and inactive patient system
  • Confirm the next day's appointments by telephone, text, or email.
  • Schedule patients for efficient use of doctor and staff time
  • Review any future schedule openings regularly with the dentist
  • Check the patient backup list to try to fill in cancellation and no-show appointment times
  • Collect payment from patients at the time of treatment
  • Make follow-up appointments as needed
  • Assist in the treatment room as needed
  • Send a copy of the patient record for consultation with specialty offices Records Management
  • Gather and accurately record dental, medical, and insurance information from patients
  • See that records are stored securely and handled in compliance with HIPAA privacy and security regulations
  • Accurately file patient information
  • Track cases and referrals to and from other doctors
  • Scan/Transfer Emailed images and notes from referring doctors into pts charts
  • Back up electronic files at the end of the day as directed by the dentist Insurance and Accounts Receivable
  • Update insurance information on all patients at all times
  • Submit treatment plans for predetermination of benefits electronically with w/supporting materials (radiographs, intraoral pictures, or written narratives)
  • Prepare claim forms for patients with dental insurance
  • Organize supporting materials for claims forms/electronic transmission, such as radiographs, intraoral pictures, or written narratives
  • Electronically submit claim forms from the office
  • Prepare bank deposits
  • Prepare statements
  • Follow-up insurance claims
  • Follow-up delinquent accounts
  • Arrange a payment schedule Correspondence
  • Sort, organize, and distribute mail
  • Prepare and send out new patient and referral thank you letters
  • Prepare and send out continuing care notices each month
  • Prepare and send out correspondence as directed by the doctor/office manager
  • Check office email daily for relevant office information or appointment Office Participation
  • Be an active participant in staff meetings
  • Perform other tasks as assigned by the office manager and/or dentist Interpersonal

  • Good interpersonal skills to maintain effective rapport with patients, dentists, staff members, and community
  • Effective verbal skills to communicate with patients and staff
  • Customer service or patient relations experience Education/Experience
  • 1 year of Dental Office or Medical Office experience required
  • 1+ years of experience with insurance billing and accounts receivable
  • 1+ years of experience with EagleSoft or other dental software
  • Experience as an office receptionist/treatment coordinator
  • High school diploma
  • Commitment to CE for career development
