Patient Care Coordinator / Medical Receptionist Job SummaryWe are seeking an adaptable, high-caliber Patient Care Coordinator / Medical Receptionist for our integrated wellness practice. Our clinic uniquely bridges mental health and advanced medical aesthetics, offering psychiatric services, psychotherapy, specialized medical Botox, medical weight loss, and hormone replacement therapy.

In this role, you will be the core connection point for our patients. You must balance deep empathy and absolute discretion for our mental health patients with an upscale, organized, and proactive approach for our wellness and medical spa clients. The ideal candidate switches seamlessly between these modalities while maintaining a luxury, patient-centered environment .Duties and ResponsibilitiesPatient Hospitality & Communication Welcome visitors warmly , ensuring a calm, premium experience in the reception area. Protect patient privacy by maintaining strict lobby and phone discretion. Manage high-volume phones , routing clinical, mental health, and med spa inquiries. Educate patients briefly on available services, booking requirements, and clinic workflows. Specialized Scheduling & Calendar Management Coordinate complex calendars across psychiatrists, therapists, and medical injectors. Optimize appointment flow to minimize wait times and maximize provider efficiency. Enforce intake workflows , sending targeted consent forms for weight loss, hormone, and Botox treatments. Manage appointment reminders to lower late-cancellations and no-show rates. Financial & Clinical Administration Process diverse payments , including psychiatric insurance copays, self-pay therapy fees, and medical spa retail transactions. Verify insurance coverage specifically for mental health benefits and medical Botox approvals. Manage health records accurately within our Electronic Health Record (EHR) systems. Uphold HIPAA compliance across all psychiatric records, lab results, and aesthetic charting.
Skills and Qualifications Experience:
1-2 years in a medical office, psychiatry practice, or upscale medical spa.
Adaptability:
Ability to navigate diverse patient needs, from mental health support to retail wellness sales.
Communication:
Exceptional verbal and written skills with a warm, professional phone presence.
Technical Literacy:
Comfortable working across EHR platforms, laboratory ordering portals, and point-of-sale systems.
Discretion:
Strong understanding of HIPAA laws and the sensitive nature of psychiatric and hormone therapies.
Professionalism:
Polished presentation that reflects a high-end wellness and medical clinic environment.
Pay:
$16.00 - $26.00 per hour
