Position Overview:
We are seeking a Full-Time Chiropractic Insurance Specialists/Patient Coordinator The Insurance Specialist / Front Desk Coordinator is responsible for ensuring the smooth financial and administrative operation of the front office. This dual role requires exceptional customer service skills and deep knowledge of insurance verification, patient billing, and ledger management, particularly in a chiropractic setting. The coordinator will be the primary point of contact for patients, managing scheduling, check-in/out, and financial discussions, while concurrently executing all necessary billing and insurance-related tasks to maximize revenue and compliance. Experience with ChiroTouch software is a plus. Essential Duties and Responsibilities Financial & Billing Responsibilities (Billing Specialist Focus)
Insurance Verification & Authorization:
Verify patient insurance eligibility and benefits (including copayments, deductibles, and out-of-pocket maximums) prior to or at the time of service for all major carriers, as well as Medicare and Medicaid. Obtain and track necessary pre-authorizations or referrals for services as required by different insurance payers. Communicate verification results and estimated patient financial responsibility clearly and professionally to the patient.
Patient Financial Management:
Collect and post copays, deductibles, and patient balance payments accurately at the time of service. Maintain and reconcile patient ledgers to ensure accurate billing and collections. Process and submit clean claims to insurance companies. Follow up on outstanding claims, denials, and appeals in a timely manner.
Compliance and Knowledge:
Demonstrate a strong understanding of all major insurance plans relevant to chiropractic care, including PPOs, HMOs, Workers' Compensation, and Personal Injury claims. Stay current on Medicare/Medicaid billing rules, coverage changes, and compliance guidelines (e.g., ABNs). Administrative & Front Desk Responsibilities (Front Desk Coordinator Focus)
Patient Reception:
Greet and check-in patients promptly and courteously. Manage multi-line phone system, schedule, reschedule, and confirm patient appointments. Maintain patient files, ensuring all necessary paperwork and consent forms are completed and current.
Office Flow Management:
Coordinate patient flow to minimize wait times and optimize the doctor's schedule. Maintain the cleanliness and organization of the reception area. Handle correspondence, including faxes, emails, and internal communication.
Qualifications Knowledge of Insurance & Billing Cycles:
Proven experience ( 1+ years preferred ) working in a medical/chiropractic office setting focusing on insurance verification and billing. Expert-level understanding of verifying benefits and eligibility for all major commercial, government (Medicare/Medicaid), and third-party insurance payers. Demonstrated proficiency in obtaining and tracking service authorizations/referrals . Proficiency in collecting and accurately recording copayments and patient balances . Solid understanding of medical terminology, CPT codes, and ICD-10 coding relevant to chiropractic practice.
Technical Skills:
Proficient use of Electronic Health Record (EHR) and Practice Management (PM) software (e.g., ChiroTouch, Epic). Strong computer skills (Microsoft Office Suite, email, general office equipment).
Professional Skills:
Excellent written and verbal communication skills, with the ability to discuss complex financial information sensitively and clearly with patients. High attention to detail and strong organizational skills. Ability to multitask and prioritize effectively in a fast-paced environment. Exceptional customer service and interpersonal skills.
