This is a hands-on administrative position requiring strong attention to detail, excellent communication skills, and the ability to independently manage multiple responsibilities. The Administrative Coordinator serves as an important point of contact for patients and works closely with clinicians and leadership to ensure that scheduling, insurance, documentation, and other administrative processes are completed accurately and efficiently. We are looking for someone who takes initiative, follows through on responsibilities, communicates professionally, and understands the importance of confidentiality and accuracy in a behavioral health setting. Responsibilities Manage clinician schedules, patient appointments, cancellations, and rescheduling Answer incoming calls and respond professionally and compassionately to patient inquiries Coordinate new patient onboarding, including required paperwork and demographic information Verify insurance eligibility, benefits, and coverage prior to services Assist with prior authorizations and other payer requirements Support billing and revenue cycle processes, including reviewing claims information and following up on administrative billing issues Maintain accurate patient information within the electronic health record (EHR) Review administrative documentation for accuracy and completeness Communicate with clinicians, administrative staff, insurance companies, and external partners as needed Assist patients with scheduling, insurance, paperwork, and general practice-related questions Maintain organized electronic records and administrative documentation Protect patient information and maintain strict HIPAA compliance and confidentiality Follow established practice policies, procedures, and workflows Identify administrative issues and appropriately communicate or escalate concerns Complete assigned responsibilities accurately and within established deadlines Provide additional administrative support to practice leadership as needed Required Qualifications Previous healthcare, behavioral health, or medical administrative experience Experience with patient scheduling and healthcare office operations Experience verifying health insurance eligibility and benefits Working knowledge of health insurance terminology, managed care, deductibles, copayments, coinsurance, and authorizations Experience working with electronic health record (EHR) systems Strong computer and technology skills Proficiency with Microsoft Office or comparable business applications Excellent written and verbal communication skills Strong organizational and time-management skills High level of accuracy and attention to detail Ability to prioritize multiple responsibilities in a busy environment Ability to work independently, problem-solve, and follow established procedures Demonstrated reliability, professionalism, and consistent follow-through Ability to communicate compassionately and professionally with behavioral health patients Ability to maintain strict patient confidentiality and comply with HIPAA requirements What We Value We value team members who are dependable, teachable, proactive, detail-oriented, and accountable .
