Job Description
POSITION SUMMARY
Primary Responsibilities Schedule patient appointments in accordance with established office policies and procedures. Handle incoming referrals, ensuring accurate entry, tracking, and appropriate routing based on provider and service guidelines. Answer incoming telephone calls promptly, preferably by the third ring, and provide courteous, professional customer service. Obtain and accurately document patient information, including demographics, referring provider, reason for visit, insurance authorization, and other required information. Verify and update patient demographic and insurance information at each visit. Make appointment reminder calls and/or send reminders prior to scheduled appointments. Update patient records by researching and correcting returned mail and outdated contact information. Print, review, and distribute the next day's appointment schedule as appropriate. Greet patients and visitors in a professional, friendly manner and assist with check-in or direct them to the appropriate department. Answer routine, non-clinical questions and provide information within established practice guidelines. Provide patients with routine pre-visit instructions and other non-medical information related to their appointment. Review new patient registration forms and information sheets to ensure all required documentation is complete and accurate. Assist patients who require help completing registration or intake forms. Prepare patient encounters and ensure all necessary documentation is available for the provider visit. Research the electronic medical record (EMR) to determine whether patients are new or established and verify existing records. Maintain patient confidentiality and comply with HIPAA and organizational policies at all times. Perform other duties as assigned to support efficient clinic operations.
MINIMUM QUALIFICATIONS
Candidate must have a minimum of two (2) years of office management experience, preferably in a medical office setting. Candidates must demonstrate strong written and organizational skills with a high level of attention to detail. The ability to multitask and perform effectively in a fast-paced, high-pressure environment is essential. Strong problem-solving abilities and effective communication skills are required. Proficiency in computer applications, including word processing and Microsoft Excel, is required. This role is responsible for overseeing the daily flow of the office and ensuring facility compliance with OSHA, HIPAA, and JCAHO standards.
