Overview Seeking a dynamic, personable & highly organized
OFFICE ADMINISTRATOR /PATIENT CARE ASSOCIATE
to join a small, established alternative medical practice. This important role combines efficient office management and comprehensive administrative support, ensuring smooth daily operations and exceptional customer service, as well as performing a variety of diagnostic tests and treatment sessions to support patient wellness. The ideal candidate will be self-motivated, flexible and adaptable, demonstrate excellent organizational skills, and possess a positive and proactive attitude. Your energy and enthusiasm are essential for creating a welcoming atmosphere for patients and visitors as their regular point of contact. This paid position offers an exciting opportunity to develop your skills while contributing to the success of a well-established practice. Duties Manage daily office operations, including overseeing front desk activities while maintaining a welcoming and professional reception area Answer phone & text messages with courteous etiquette, directing calls accurately and efficiently Provide exceptional customer support by assisting our current patients & prospective patients with inquiries and appointments Schedule patient appointments efficiently, coordinate follow-up visits, and manage cancellations or rescheduling requests Maintain accurate records through data entry, filing, and proofreading of documents to ensure clarity Utilize computer skills on an iMac with proficiency in Microsoft Office suite (Word), Google Workspace (Gmail), patient communication software, and general correspondence Support administrative tasks such as managing lab orders, emails, and referral letters; organizing files; and handling correspondence with patients and labs and other providers Maintain medicinary inventory and supply ordering Create a monthly newsletter, social media posts on and manage website updates (WIX platform) Decision making skills, attention to detail and willingness to work under pressure Focus on patient care and confidentiality maintaining HIPPA. Perform diagnostic testing (training provided) as needed Learn and assist with performing a variety of alternative treatment modalities as needed Requirements Confident, warm interpersonal and communication skills and ability to effectively interact with many personalities Excellent organizational skills with the ability to prioritize tasks effectively Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail), and data entry tools Familiarity with Apple computers helpful but not required Experience providing high quality, welcoming phone etiquette Strong customer service orientation with excellent communication skills Ability to follow HIPPA rules, handle sensitive information discreetly while demonstrating professionalism at all times Demonstrated time management skills with the capacity to multitask efficiently in a busy environment Interest in & openness to Alternative Medicine Marketing skills for creation of newsletters, social media, press releases, and website updates (WIX platform) This role is perfect for a motivated individual eager to grow their career in healthcare administration while making a meaningful difference in patient lives. Pay:
$23.50 - $24.50 per hour
