This is a balanced role:
roughly half of your time will be spent on patient-facing sales — consultations, treatment plan presentations, follow-ups, and conversions — and the other half on clinic administration: scheduling, intake, records, and keeping operations running smoothly. You'll be a key driver of clinic growth and patient retention. This role is perfect for someone who is genuinely excited about helping people reach their weight loss and wellness goals, who can confidently discuss pricing and programs, and who thrives in a fast-paced clinical environment. Strong performers will have clear opportunities to advance as we expand services and grow our patient base. What You'll Do Sales & Patient Conversion (≈50%) Conduct in-person and virtual weight loss consultations, walking prospective patients through program options (GLP-1 protocols, body contouring, wellness add-ons). Present treatment plans and pricing with confidence, answer questions, address concerns, and close on enrollment. Follow up promptly on inbound leads from web forms, social media, referrals, and missed-call lists — speed-to-lead is critical. Conduct outbound warm calls to lapsed patients and prior consults to re-engage them in new programs or refill cycles. Upsell and cross-sell complementary services (body contouring, B12/lipo injections, supplements, aesthetic treatments) where clinically appropriate. Track every lead, consultation, and conversion in our CRM/EMR; report on conversion rates, no-show rates, and pipeline weekly. Build long-term relationships — many weight loss patients are with us for 6-12+ months, so retention matters as much as the first sale. Administrative & Front Desk (≈50%) Greet patients warmly, manage check-in/check-out, and create a welcoming, professional atmosphere. Schedule and confirm appointments, manage the provider's calendar, and minimize gaps and no-shows. Handle patient intake forms, consents, insurance verification (where applicable), and chart prep before each visit. Process payments, run weekly orders/refill reports, and help maintain monthly patient order spreadsheets. Coordinate with the medical provider and any contracted staff to keep the day flowing smoothly. Maintain a clean, organized, HIPAA-compliant front-of-house and treatment area. Help with light marketing support — social media replies, Google review requests, referral tracking, and local outreach.What We're Looking For Experience:
1+ year of customer service, sales, or front-desk experience (medical spa, weight loss clinic, dental, or aesthetics strongly preferred).Sales aptitude:
Comfort discussing pricing, payment plans, and financing without being pushy — you can close, and you can do it with empathy.Patient-first mindset:
You genuinely care about helping people get healthier; you can talk about weight, body image, and wellness goals with sensitivity and zero judgment.Tech-savvy:
Comfortable with EMR/practice management software, CRM tools, Google Workspace, and basic spreadsheet work. Quick to learn new systems.Communication:
Polished, articulate, and warm — both on the phone and in person. Spanish or other second-language fluency is a big plus given our community.Dependable:
Reliable, organized, and able to juggle a ringing phone, a walk-in, and a checkout all at once without dropping the ball.Discretion:
HIPAA awareness and a strict commitment to patient confidentiality. Nice to Have Prior experience with GLP-1 weight loss programs (semaglutide, tirzepatide) or compounded pharmacy workflows. Familiarity with medical spa services (body contouring, laser treatments, injectables). Existing book of business or social media presence in the local wellness/aesthetics community.
