POSITION SUMMARY
We are seeking a highly organized, patient-focused, and technologically savvy Patient Care Coordinator & Healthcare Operations Specialist to join our growing wellness practice. This is not a traditional front desk position. We are seeking someone who can help us leverage technology, automation, AI, and modern healthcare systems to create an exceptional patient experience while supporting the growth of the practice. The ideal candidate combines exceptional customer service skills with strong administrative, technical, and problem-solving abilities. You will serve as the primary point of contact for patients while supporting clinical operations, medical billing, patient retention, sales initiatives, marketing efforts, and business automation projects. You will play a critical role in ensuring every patient receives a world-class experience while helping the practice grow through efficient systems, patient engagement, process improvement, and technology-driven solutions. The ideal candidate is comfortable utilizing modern healthcare and business software platforms such as EMRs, CRMs, GoHighLevel, ChatGPT, and AI-powered tools to improve efficiency, communication, marketing, and operational performance.

EDUCATION
Required High School Diploma or GED Preferred Associate's Degree in Healthcare Administration, Business, Marketing, Communications, Information Technology, or related field Bachelor's Degree preferred Computer Science, Information Systems, Healthcare Informatics, Business Technology, or related technical degree strongly preferred
KEY RESPONSIBILITIES
Patient Experience & Care Coordination Greet patients with professionalism, warmth, and compassion Answer incoming calls, texts, emails, and patient inquiries promptly Educate patients on services, memberships, and wellness programs Schedule appointments and manage provider calendars Coordinate Telehealth and follow-up appointments Complete patient intake, check-in, and discharge processes Ensure all forms, consents, and documentation are completed accurately Maintain organized patient records and communication logs Medical Billing & Insurance Verify insurance eligibility and benefits Assist with insurance claims and billing processes Support revenue cycle management activities Resolve patient billing inquiries Maintain accurate documentation for claims processing Medical billing experience strongly preferred Sales & Revenue Generation Educate patients on IV drips, boosters, memberships, and wellness services Convert first-time visitors into long-term clients and members Promote service upgrades, wellness packages, and product recommendations Track membership conversions and sales metrics Process payments, invoices, and point-of-sale transactions Meet or exceed monthly sales and growth goals Marketing & Brand Support Create social media content including photos, videos, reels, stories, and captions Assist with content scheduling and engagement Support community outreach events and wellness initiatives Maintain brand consistency across all platforms Assist with email marketing and patient communication campaigns Technology & Automation Support Utilize GoHighLevel CRM to manage patient communications, lead follow-up, appointment reminders, and workflow automation Use ChatGPT and AI-powered tools to improve efficiency, patient engagement, content creation, and administrative workflows Support CRM, EMR, and marketing automation systems Assist with implementation and optimization of business processes and technology solutions Help identify opportunities to streamline operations through automation and AI Support leadership with special projects involving technology, systems, and growth initiatives Operations & Administration Maintain a clean, organized, and professional workspace Manage inventory of medical and office supplies Coordinate vendor communications and deliveries Participate in daily team huddles and meetings Follow HIPAA regulations, privacy standards, and company policies Assist leadership with operational and administrative projects
REQUIRED SKILLS & QUALIFICATIONS 1-2
years of experience in healthcare, patient coordination, medical office administration, wellness, med-spa, or related field Strong customer service and communication skills Medical billing and insurance verification experience preferred Ability to confidently educate patients and recommend services Strong organizational and multitasking abilities Experience working with EMR and CRM systems Strong attention to detail and accuracy Comfortable learning and utilizing new technology platforms Knowledge of HIPAA and patient privacy regulations Proficiency with Microsoft Office and Google Workspace Comfortable using AI-powered tools and technology
PREFERRED QUALIFICATIONS
Experience with GoHighLevel CRM, workflow automation, and lead management systems Experience utilizing ChatGPT and AI-powered productivity tools in a professional setting Experience with Office Ally or similar EMR systems Experience creating social media content and managing digital communications Familiarity with healthcare marketing and patient retention strategies Strong technical aptitude and ability to learn new software platforms quickly Experience with workflow automation, process improvement, or operational optimization Sales, membership, or wellness industry experience
