This role is essential to delivering a seamless, high-touch experience consistent with the practice's reputation for excellence in cosmetic and reconstructive plastic surgery. The ideal candidate is polished, highly organized, and comfortable balancing front-desk operations with consultative scheduling in a fast-paced aesthetic practice. Key Responsibilities Patient Experience & Front Desk Greet patients warmly and manage front-desk operations, ensuring a professional and welcoming office environment Answer and triage incoming calls, emails, and online inquiries in a timely, courteous manner Check patients in/out and manage day-of scheduling flow to minimize wait times Scheduling & Coordination Schedule and confirm consultations, pre-operative appointments, and post-operative follow-ups Coordinate provider calendars and manage rescheduling and cancellations Send appointment reminders and manage no-show/cancellation follow-up outreach Patient Intake & Records Collect and process new patient paperwork, medical history forms, and consent documentation Maintain accurate, up-to-date patient records in the EMR/practice management system Ensure documentation complies with HIPAA and practice privacy policies Consultation Support Guide prospective patients through the consultation process, including presenting pricing and financing options for cosmetic procedures Follow up with consultation leads to support conversion to scheduled procedures Maintain accurate lead and conversion tracking for practice reporting Qualifications Required High school diploma or equivalent 1-3 years of experience in a medical office, aesthetic practice, or customer-facing healthcare/hospitality role Strong verbal and written communication skills; polished, professional demeanor Proficiency with scheduling software and EMR/practice management systems Ability to multi-task in a fast-paced environment while maintaining attention to detail Preferred Prior experience in plastic surgery, dermatology, or medical spa setting Familiarity with cosmetic financing platforms (CareCredit, Cherry, etc.) Experience with aesthetic-practice EMR systems (Nextech) Core Competencies Patient-centered service orientation Consultative communication Discretion and confidentiality (HIPAA compliance) Organization and time management Team collaboration across clinical and administrative staff Work Environment This position is based in-office and requires prolonged periods of sitting, standing, and use of computer/phone systems, with occasional early morning, evening, or weekend availability to accommodate patient scheduling needs.
Pay:
$22.00 - $24.00 per hour
