•6:00p Approximately 32 hours per week Join a Practice Where the Patient Experience Matters Montclair Orthodontics is an established, highly regarded private orthodontic practice in the heart of Montclair, NJ. We are looking for an exceptional Patient Experience & Front Desk Coordinator to become an important part of our team. This is much more than a traditional receptionist position. Our front desk is the hub of our practice and often the first and last interaction our patients and families have with us. We are looking for someone who takes genuine pride in providing outstanding service, communicates exceptionally well, stays organized in a busy environment, and can be counted on by patients and coworkers every day. Prior dental or orthodontic experience is helpful, but it is not required. We are very willing to train the right person. We are particularly interested in candidates with strong backgrounds in healthcare, hospitality, customer service, banking, professional offices, education, or other service-oriented environments who are looking for a stable, long-term position with a great local practice. What You'll Do As a Patient Experience & Front Desk Coordinator, you will help ensure that every interaction with Montclair Orthodontics is welcoming, professional, efficient, and organized.
Responsibilities include:
Warmly welcoming patients and families and creating an exceptional front-office experience Answering telephone calls with professionalism, warmth, and confidence Scheduling and confirming patient appointments Helping new patients and parents understand what to expect when visiting our practice Accurately collecting and maintaining patient information Communicating clearly regarding appointments, office policies, fees, forms, and treatment-related administrative matters Managing email, text, telephone, and other patient communications Coordinating with the orthodontist and clinical team to keep the patient schedule running smoothly Handling multiple priorities while maintaining exceptional attention to detail Completing administrative projects and other front-office responsibilities Helping us continually improve the experience we provide to our patients and families Who We're Looking For The right person will be: Exceptionally dependable and punctual Warm, friendly, polished, and professional An excellent verbal and written communicator Highly organized and detail-oriented Comfortable speaking with both adults and children Able to remain calm and gracious when dealing with a busy schedule or an upset patient Confident discussing fees and financial matters professionally Comfortable learning and using modern technology and software Able to follow established procedures consistently and accurately Someone who notices what needs to be done and takes initiative A collaborative teammate who understands that everyone in a small practice depends on one another Interested in finding a position where they can contribute and grow for the long term Reliability Is Essential Because we are a small healthcare practice and our patients depend upon us, consistent attendance, punctuality, professionalism, and reliability are essential requirements of this position. Every member of our team plays an important role in caring for our patients, and we are looking for someone who takes that responsibility seriously. Experience We value quality of experience more than a particular industry background. Prior experience in orthodontics, dentistry, healthcare, patient scheduling, or medical administration is a plus, but we encourage exceptional candidates from hospitality, banking, education, professional services, customer service, and similar environments to apply. For the right candidate, we will provide training in orthodontic terminology, our practice-management systems, scheduling procedures, and office protocols.
