At Celebrate Dental & Braces, our Treatment & Patient Coordinator is the heartbeat of the patient journey — from the very first consultation to a confident same-day start. You'll guide patients and families through their treatment options with clarity and enthusiasm, present fees in a way that feels approachable rather than intimidating, and keep the front office running smoothly in between. What You'll Do Treatment Coordinator (Primary) Conduct new patient consultations alongside the doctor, creating a warm, confident, and informative experience Coordinate and assist with clinical records — including photos, X-rays, and digital scans — to prepare for treatment planning Present customized treatment plans and fee options to patients and families in a clear, persuasive, and pressure-free way Explain all financial arrangements including payment plans, insurance coordination, and same-day start incentives Overcome financial objections with empathy and creativity, offering appropriate alternatives within practice policy Champion same-day starts — proactively creating the conditions for patients to say yes and begin treatment immediately Conduct timely follow-up with consultation patients who have not yet committed, using phone, text, and email Track and report on consultation volume, conversion metrics, and pending starts Maintain accurate records of treatment fees, financial agreements, and contract documentation Patient Coordinator (Supporting) Greet patients and families, supporting check-in and check-out and maintaining a welcoming front-office environment Answer incoming calls and monitor patient communication channels Schedule, reschedule, and confirm appointments according to established practice guidelines Follow up on unconfirmed, missed, or canceled appointments Verify and update patient contact, insurance, and account information Collect patient payments, issue receipts, and document all transactions accurately Route clinical or complex inquiries to the appropriate team member Protect confidential patient and financial information throughout all interactions
What You'll Need Required:
Bilingual fluency in Spanish and English — you'll use both every day with patients and families Natural ability to build rapport quickly and put patients and families at ease Confident, persuasive communicator — comfortable presenting financial information and navigating objections Consultative sales mindset with a service-first approach — you close by helping, not by pushing Strong organizational skills; able to juggle multiple patients, follow-ups, and front-desk tasks without dropping the ball Professional and friendly communication across all channels — phone, text, email, and in-person
Preferred:
Previous experience in a treatment coordinator, patient coordinator, or patient-facing healthcare role Experience presenting fees, handling objections, or sales in a service or healthcare environment Previous experience using a dental or medical scheduling or EHR system Basic knowledge of dental and orthodontic treatment types and payment handling Why You'll Love Working With Us The ability to earn $18-$25/hr or more with bonus structure tied to performance 401(k) Paid time off Employee discount on dental and orthodontic services A high-volume, fast-paced team that genuinely celebrates wins together
