JOB SUMMARY
The Medical Assistant Coordinator is responsible for the direct management of the Medical Assistant team and the daily workload of the Medical Assistants. This coordinator serves as a key liaison between all members of the multidisciplinary team by coordinating workflows across front and back office functions. This coordinator helps to establish the standard for Medical Assistant practice at Northern Nevada HOPES by ensuring that all Medical Assistants are technically competent in their positions and receiving adequate reviews, support, and feedback to ensure high-quality patient care.
ESSENTIAL FUNCTIONS
Provide oversight of private and state funded vaccine programs by ensuring adequate vaccine availability, accurate tracking, uptodate records, monthly reconciliation, and full compliance with all regulatory requirements. Oversee medical supply, therapeutic medication, and vaccine inventory by monitoring supply costs, managing expenses in alignment with departmental budgets, and conducting proactive, timely audits to ensure continuous supply availability. Facilitate Medical Assistant staff competency through annual skills assessments, annual CLIA skills assessments, annual sterilization assessments, and new hire competency checklist. Train Medical Assistants and Medical Assistant externs on all required clinical competencies as outlined in new hire competency check list. Ensure effective use of interpreting resources, including bilingual staff interpreting and external interpreting service. Foster a positive and healthy work environment by engaging in multidisciplinary team meetings, communicating needs and challenges clearly and promptly, and demonstrating openness to proactive problem solving and constructive feedback. Maximize professional growth by remaining receptive to feedback, utilizing guidance and support from supervisory leadership. Perform regular audits of Medical Assistant workload and provide feedback, guidance, and support during monthly oneonone meetings. Facilitate Medical Assistant team meetings, team building activities, and ensure timely follow up on action items and outcomes. Serve as a mentor to Medical Assistants by reinforcing best practices for patient rooming, vital sign collection, workflow optimization, and accurate electronical medical record documentation. Delegate workload equitably among the Medical Assistant team while modeling professional communication and providing appropriate guidance related to patient, provider, and pharmacy communications within scope of practice. Coordinate the assignment of phone messages from patients and front office staff to providers to support timely and accurate communication. Provide supervisory support to ensure patient requests and needs are processed promptly and in accordance with provider direction. Set, monitor, and evaluate performance goals for the Medical Assistant team to support career development, professional growth, and alignment with organizational objectives. Provide float coverage and operational support for Medical Assistants as needed. Demonstrate proficiency with the electronical medical record system and contribute to workflow optimization through effective use of electronical medical record tools and processes. Promote a welcoming, collaborative environment where Medical Assistants feel heard and understood, remain curious. Analyze clinical and operational data as assigned by the Manager and Director of Clinical Services, produce reports, and implement process improvements in alignment with established Continuous Quality Improvement measures. Maintain office laboratory standards in compliance with regulatory requirements by ensuring monthly quality controls for CLIAwaived testing, keeping logs current, verifying that supplies are not expired, and ensuring Medical Assistants complete Laboratory Assistant certifications within 30 days of hire when applicable. Monitor and maintain oxygen and liquid nitrogen tanks to ensure safety and operational readiness. Oversee monthly audits and maintenance of Code Blue Box supplies and equipment. Log and track 340B medications received in the clinic and return expired medications to the pharmacy in compliance with program standards. Ensure compliance with required logs and routine temperature monitoring of vaccine refrigerators, room temperatures, and LARC cabinets. Ensure safe and compliant processing of autoclave cycles, maintain sterilization practices and keep logs current. Facilitate standardized clinical workflows for Medical Assistants through the development and implementation of Standard Operating Procedures (SOPs) in collaboration with the Manager and Director of Clinical Services.
MINIMUM QUALIFICATIONS
Completion of an accredited Medical Assistance educational program by an accredited program required. 2 years of experience working as a Medical Assistant required. Obtain CLIA Office Laboratory Assistant License within 30 days of hire required. Basic Life Support (BLS) Certification required. Bilingual strongly preferred. Registered Medical Assistant (RMA)/Certified Medical Assistant (CMA) preferred. Proficient in medical terminology preferred. Leadership experience preferred. Why Choose HOPES?
