A Clinical Coordinator coordinates operations and oversees medical assisting staff in a clinic or medical department. Responsibilities include supervision of day-to-day operations, management of business aspects, HR duties within the team.
8am -5pm Essential Responsibilities Coordinate all outpatient referrals, intake requests, and scheduling for behavioral health services. Serve as the primary point of contact for patients, families, referral sources, physicians, hospitals, and community agencies. Ensure timely completion of intake documentation, insurance verification, authorizations, and registration requirements. Collaborate with therapists, psychiatrists, nursing staff, and leadership to coordinate patient care and appointment availability. Monitor provider schedules to maximize access, productivity, and continuity of care. Maintain accurate patient records and ensure documentation complies with organizational, state, federal, and accreditation standards. Track referrals, admissions, discharges, waitlists, cancellations, and no-show rates, identifying opportunities for process improvement. Assist with patient engagement efforts, including appointment reminders and follow-up communication. Coordinate outpatient group schedules, room assignments, and program logistics. Prepare reports related to program performance, patient census, referral trends, and quality metrics. Participate in interdisciplinary treatment team meetings and departmental quality improvement initiatives. Maintain confidentiality and compliance with HIPAA and all applicable regulations. Provide exceptional customer service while promoting a welcoming and professional environment for patients and visitors. Perform other duties as assigned to support outpatient program operations. Qualifications Required Must be 21 or older Two or more years of experience in healthcare, behavioral health, medical office operations, or care coordination. Strong organizational, communication, and customer service skills. Experience working with electronic health records (EHR) and Microsoft Office applications. Ability to prioritize multiple tasks in a fast-paced healthcare environment. Knowledge of HIPAA, patient confidentiality, and healthcare scheduling processes.
