Job Description
We're seeking a Patient Experience Coordinator for our Concierge Primary Care Medical Office in Haverford, PA!
Serve as a primary patient contact before, during, and after appointments.
Maintain ongoing communication with practice members and patients.
Respond to inquiries in a timely, professional, and compassionate manner.
Document patient interactions and follow-up activities.
Appointment Scheduling & CoordinationSchedule appointments for new and established patients.
Coordinate appointment confirmations and patient follow-up.
Assist with new patient onboarding activities.
Work with internal team members to ensure a smooth patient experience.
Insurance & Records ManagementVerify insurance eligibility and demographic information.
Obtain prior authorizations and pre-certifications as needed.
Maintain accurate patient records and documentation.
Coordinate receipt and organization of incoming medical records.
Ensure compliance with HIPAA and privacy requirements.
Practice OperationsManage digital documentation, patient forms, waivers, and membership agreements.
Process incoming patient-related records and correspondence.
Monitor and maintain office and clinical supply inventory.
Support billing and membership-related administrative activities.
Perform general clerical and administrative duties as assigned.
High school diploma or equivalent.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Proficiency with Microsoft Office and general office technology.
Ability to work professionally and collaboratively in a small team environment.
PreferredAssociate's or Bachelor's degree.
Experience with Athenahealth, eClinicalWorks, Epic, or similar EHR platforms.
Experience with insurance verification, prior authorizations, and patient registration.
Knowledge of HIPAA, OSHA, and healthcare compliance standards.

The compassionate team is led by three board-certified physicians, is dedicated to caring for its patients, and putting their health needs first. Every team member of the practice strives for excellence in patient care. Continually inspired and motivated by their patients, the practice's team members believe that good health starts with excellent patient-caregiver relationships. The team is looking for an outgoing, communicative, new team member to serve as Patient Experience Coordinator for the practice. This role serves as the critically important first contact from the practice for patients and supports the daily operations of the practice. This individual will manage patient communications, scheduling, insurance verification, records management, and other front-office functions that contribute to an exceptional patient experience. The ideal candidate brings prior healthcare office experience, strong organizational skills, a positive attitude, and a genuine desire to help patients!What You'll Do:
