We are currently seeking a Guest Experience Coordinator to support the day-to-day operations of the practice while ensuring each guest receives exceptional service from start to finish. Position Overview The Guest Experience Coordinator plays an important role in maintaining the flow, organization, and elevated guest experience of the practice. This position supports scheduling, guest communication, and front-of-house coordination to ensure every visit runs smoothly and every guest feels welcomed, comfortable, and well cared for. With experience and training, team members may grow into a Guest Care Coordinator role , helping guide guests through their treatment journey and supporting providers in delivering a seamless experience. Key Responsibilities Guest Experience ? Deliver a warm, professional, concierge-level experience for every guest ? Welcome guests and assist with arrival and departure coordination ? Schedule appointments and manage the daily clinic calendar ? Answer phones and respond to guest inquiries ? Ensure guests feel comfortable and supported throughout their visit ? Maintain a calm, organized, and welcoming reception environment Guest Communication & Coordination ? Assist with intake forms, consents, and guest documentation ? Maintain accurate guest records ? Communicate with guests regarding appointments and follow-up ? Support the care coordination team with guest communication and scheduling Practice Operations ? Maintain a polished and professional front-of-house environment ? Help monitor guest flow and daily scheduling needs ? Assist with operational and administrative tasks as needed ? Uphold HIPAA compliance and confidentiality standards Growth & Development ? Training in guest communication and practice systems ? Experience working in a premier medical aesthetics environment ?
