Supervisory Responsibility Supervision is not a responsibility of this position. May oversee student employees. Position Summary The Clinical Coordinator provides administrative and operational support for clinical placement activities and related healthcare program logistics within clinical education settings. This position coordinates student placements, onboarding requirements, scheduling activities, compliance tracking, and related communications with students, faculty, and external clinical partners while maintaining accurate and confidential records. The role supports adherence to institutional, regulatory, accreditation, and clinical site requirements through established procedures, timelines, and documentation practices. The Clinical Coordinator supports the non-instructional operational functions necessary for effective clinical program delivery and student placement coordination. Primary Responsibilities 1. Clinical Site Coordination Coordinate student clinical placements with healthcare partners in alignment with program requirements, site availability, and onboarding timelines. Maintain and update clinical placement schedules, rotation assignments, and centralized tracking systems. Coordinate communication regarding placement availability, scheduling changes, onboarding timelines, and logistical issues with students, faculty, and clinical agencies. Prepare and distribute clinical placement documentation, schedules, rosters, and related materials using established procedures and secure communication methods. Track clinical site capacity, student assignments, and placement status across multiple healthcare programs and partner locations. 2. Clinical Compliance & Records Coordination Maintain confidential student onboarding and compliance records, including immunization documentation, background check clearance status, drug screening requirements, certifications, and related onboarding materials. Monitor onboarding and compliance deadlines and communicate with students, faculty, and clinical partners regarding missing or incomplete requirements. Coordinate onboarding documentation and compliance processes in accordance with institutional procedures, accreditation standards, and clinical site requirements. Maintain records and tracking related to clinical affiliation agreements in coordination with the Contract and Procurement Department. Compile and prepare reports related to clinical placements, onboarding, accreditation, regulatory requirements, and related program operations. Assist faculty and clinical partners with required onboarding, placement, and site documentation processes. 3. Student Onboarding Communicate onboarding requirements, timelines, and clinical site expectations to students participating in clinical placement activities. Provide students with procedural guidance regarding onboarding, placement, orientation, registration, and related healthcare program processes. Assist students and faculty with onboarding platforms, document submission processes, account access, and related technical support needs. Coordinate onboarding-related communication and follow-up activities between students, faculty, clinical agencies, and third-party compliance vendors. Support timely completion of onboarding and placement activities through tracking, communication, troubleshooting, and coordination of operational issues. 4. Other Duties as Assigned May participate in College committees and workgroups as assigned. Engages in professional development and training opportunities related to assigned responsibilities. Supports collaborative working relationships with students, employees, healthcare partners, and community stakeholders. Performs other duties as assigned. Qualifications & Additional Position Information 1. Minimum Qualifications Education - Bachelor's degree in business administration, healthcare administration, education, or a related field. Experience - Minimum of three years of experience coordinating administrative, healthcare education, clinical placement, or program support functions involving multiple stakeholders, timelines, confidential information, and compliance-related processes. Only degrees received from an accredited institution will be accepted: accreditation must be recognized by the office of degree authorization, US Department of Education, as required by
ORS 348.609.
Final candidate will be required to provide official transcripts for required degree. Any satisfactory equivalent combination of education and experience which ensures the ability to perform the essential functions of the position may substitute for the requirement(s). Preferred Qualifications Experience coordinating clinical placements, onboarding, or compliance processes within a healthcare education or clinical training environment. Experience working with healthcare onboarding, compliance tracking, or student information systems. Experience coordinating with external healthcare agencies, clinical partners, or regulatory organizations. Familiarity with accreditation standards, onboarding requirements, or compliance processes related to healthcare education programs. Experience maintaining confidential records and working with privacy regulations such as FERPA. Healthcare-related certification, licensure, or training demonstrating familiarity with healthcare environments, clinical processes, or regulatory requirements. 3. Essential Knowledge, Skills, & Abilities (Core Competencies) Knowledge - Working knowledge of administrative and operational processes within healthcare education, clinical placement, or program coordination environments; data management practices, recordkeeping systems, and applicable privacy regulations (e.g., FERPA and confidential records handling); and onboarding processes, compliance tracking, scheduling coordination, and accreditation- or regulatory-related documentation requirements. Skills - Strong organizational, logistical, and program coordination skills; proficiency in database, spreadsheet, and tracking systems; effective written and verbal communication skills; ability to manage multiple priorities, timelines, and deadlines; strong attention to detail and accuracy; problem-solving skills; and the ability to work with sensitive and confidential information using discretion and professionalism. Abilities - Ability to coordinate complex logistical processes involving multiple stakeholders and external partners; interpret and apply established policies, procedures, and clinical onboarding requirements; maintain accurate and confidential records; adapt to changing operational needs and schedules; communicate effectively with students, faculty, staff, and clinical agencies; and work both independently and collaboratively in a fast-paced environment. 4. Other Requirements For assignments requiring operation of a motor vehicle, possession of a valid Oregon Driver's License or the ability to obtain one within 30-days of employment, and maintenance of an acceptable driving record are required. 5. Remote Work Options (see AP 7239 Working Remotely for more details) This position functions as an in-person work arrangement, working on-campus with either a set schedule or flexibility depending on operational needs. 6. Manual dexterity and coordination are required for more than half of the daily work period while operating computers, keyboards, telephones, and other standard office equipment. While performing the duties of this position, the employee may occasionally be required to stand, walk, reach, bend, kneel, stoop, and handle office materials or supplies. The position requires the ability to frequently communicate verbally and in writing and occasionally lift or move materials weighing up to 25 pounds. 7. Working Conditions The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate and lighting is adequate. This is a Full-time Classified, 30-hour per week (75%) position in the Nursing & Allied Health department. Starting compensation is entry level for Group 7 on the 2025-26 Classified Wage Schedule. Position is fixed-term/grant-funded through 6/30/2027, renewed annually, with continuation dependent upon funding. Fixed-term/grant-funded positions do not accrue seniority.
