We believe every interaction — from the first phone call to the final paperwork — shapes the healing experience. We're looking for a warm, organized Front Desk Coordinator to be the welcoming face of our practice. What you'll do Greet and check in clients in person and via phone/email, ensuring a warm and professional first impression Conduct new client intakes — collect demographic information, insurance details, and relevant history Schedule, confirm, and manage appointments across multiple providers using our practice management system Maintain and organize electronic health records (EHR) with accuracy and strict confidentiality (HIPAA) Process and coordinate medical records requests, releases of information, and referrals Support our billing company with tasks including insurance verification, claim submissions, and patient invoicing Communicate results and follow-up instructions to clients as directed by clinical staff Manage office correspondence, voicemail, and email in a timely, professional manner Support clinicians with administrative tasks as needed What we're looking for 1+ year of experience in a medical, behavioral health, or mental health office setting preferred Familiarity with medical billing, insurance verification, or healthcare administration Experience with EHR/practice management software (e.g., SimplePractice, Therapy Notes, or similar) Strong interpersonal skills — compassionate, patient, and able to communicate with individuals in distress High attention to detail and ability to manage multiple priorities Comfortable working independently in a hybrid environment Knowledge of HIPAA regulations and commitment to client confidentiality Proficiency with Microsoft Office / Google Workspace Employment is contingent upon satisfactory reference checks and a background check. Any criminal history will be evaluated consistent with applicable law and the relationship, if any, between the record and the responsibilities of the position. Nice to have Direct experience working with mental health patients or a background in social services Bilingual (English + any additional language) — a plus for serving our diverse client base Experience with mental health intake processes or crisis line protocols
Pay:
$20.00 - $22.00 per hour
