This is a shared leadership role alongside a second Intake Manager, with each Manager overseeing distinct areas of the department. Reporting to the Director of Intake & Client Experience, the two Managers collaborate to uphold department standards, support cross-functional coordination, and deliver a seamless client experience. The Manager's primary KPI is conversions—turning inquiries into scheduled starts—supported by consistent enforcement of SOPs, active coaching and accountability for staff, and serving as an escalation point for families when needed. What You'll Do Directly supervise and coach a team of Intake Coordinators and Specialists (~10 staff), ensuring performance standards are consistently met. Drive accountability around lead-to-client conversion as the department's #1 KPI. Enforce expectations set by the Director and VP, ensuring staff follow through on performance goals and operational standards. Write, update, and maintain Intake SOPs — documenting processes clearly and proactively identifying opportunities for improvement. Collaborate with the other Intake Manager to share responsibilities and ensure balanced coverage across department operations. Partner with the Director to implement process changes, team initiatives, and cross-functional improvements. Serve as an escalation point for families when complex intake concerns arise, modeling empathy, professionalism, and service excellence. Maintain strong working knowledge of Salesforce CRM to oversee team workflows and ensure accurate data entry and process adherence. Monitor call center metrics in 8x8, ensuring the team meets established performance targets. Maintain and update departmental spreadsheets with key data and analytics to support accountability and decision-making. Monitor staff compliance with company policies, including timekeeping and performance expectations. Support new market pilots and contribute insights to departmental strategy as directed. Promote a culture of excellence, accountability, and continuous improvement within the Intake Department. What We're Looking For Healthcare intake/admissions/patient access experience required. Behavioral health/ABA experience strongly preferred. 3+ years of leadership experience preferred (flexible for exceptional candidates with strong healthcare intake leadership exposure). Demonstrated experience leading a team toward performance goals and enforcing accountability.
Education:
High school diploma required; Bachelor's degree preferred.
Skills:
Strong written communication skills; able to create clear, polished SOPs and professional client communications. Proven ability to enforce accountability while coaching and supporting team growth. Strong organizational skills with high attention to detail. Ability to thrive in a fast-paced environment and adapt to changing business needs. Skilled in conflict resolution and escalation management, with professionalism under pressure. Salesforce CRM expertise required.

Pay:
$75,000.00 - $85,000.00 per year
