Operations Administrator Job Description Rhyme & Reason is a Medicaid Waiver Service Provider. We provide a comprehensive enrichment program for foster youth and individuals with developmental disabilities. Operations Administrator (OA) - The Operations Administrator oversees daily operations while performing various supportive tasks of the organization to ensure smooth functionality, a vital key to the organization's success. The OA ensures all operations of the organization are streamlined and monitored perfectly for programs to run efficiently and effectively. The OA ensures that the operations stay in order, thereby preventing the organization from facing serious issues that can cause huge losses. This person provides administrative support to ensure the efficient operation of the ministry as a whole while supporting managers and employees/contract workers through a variety of tasks related to daily operations and organization, maintenance of records, and communication between clients, vendors, and staff. The Operations Administrator is passionate about the Company's mission and familiar with the concepts, practices, and procedures of the services provided, ensuring all programs are operating to their fullest capacity and implementing the policies and regulations of the company. The Operations Administrator relies on experience, creativity, and keen judgment to plan and support accomplishing the Company's goals.
Education Requirements:
At a minimum, the Operations Administrator must have aBachelor's degree with two years of experience in office management; experience in healthcare systems management is preferred.
Specific Qualifications:
The Operations Administrator must provide evidence of the following skills and proficiencies: Proven administrative or assistant experience and professional administrative support Proficient in office management systems and procedures, including database management Excellent time management skills and ability to multitask and prioritize work Keen sense of urgency and proven ability to meet or exceed deadlines and commitments Excellent written and verbal communication skills, as well as strong organizational and planning skills Ability to support the company's growth and development, employ foresight of potential administrative needs, and act by professional standards Proficient in using Microsoft Office, Google Drive, and other applications and database formats, utilizing the intranet/internet to research materials and information to enhance operational functions Typing skills, attention to detail, accuracy, multitasking, professional telephone skills, and customer service Discretion and judgment; responsibly and accurately handling confidential and time-sensitive material; keeping employee information confidential; and meeting HIPAA regulations Knowledgeable of the needs and culture of the client and service population
Major Duties:
The Operations Administrator is responsible for providing support to managers and employees/contract workers by ensuring the smooth functionality of operations. The major duties of the Operations Administrator include, but are not limited to: Carry out the daily functions required to maintain accurate reporting and ensure the organization complies with all service standards, including duties such as filing, scanning, and uploading documents into client databases; reviewing case notes, treatment plans, and service reports; processing notice of actions (NOAs) and other secured electronically transmitted documents received from IHCP; conducting ongoing file audits; and other administrative tasks to ensure that the Company's personnel files and client records are accurately maintained according to service standards and accurate reporting of services. Communicate as needed with employees to ensure that they are meeting deadlines and in compliance with all service standards using various modes (phone, email, etc.) accurately, with high quality, professionally, and promptly. Manage and resolve daily operational and administrative problems; develop and update administrative systems to make them more efficient when applicable. Respond to email, telephone, or face-to-face inquiries related to the daily functions of the organization, including clients' queries, service referrals, staff recruitment inquiries, interoffice inquiries from staff, and keeping every transactional record among vendors, employees, and clients. Produce, distribute, and update correspondence memos, letters, and faxes, including writing letters and emails on behalf of other office staff when applicable. Update policy/procedure manuals and forms to enhance productivity, including determining priorities and establishing deadlines to ensure an efficient operation. Maintain contact lists, client lists, and other lists/data tracking as it pertains to the overall administration of client and employee activities/tasks. Organize, schedule, and attend staff meetings, taking accurate minutes and distributing them to all attendees. Process referrals for all services, ensuring timely follow-through. Oversight of the at-home PAC personal binders, which may include completing them and ensuring they are in the home within 30 days of the start of services, and ensuring that the binder is up-to-date and accurate on an ongoing basis. Keep track of social media efforts and ensure that the company's social communication and website presence are up-to-date, which may include communicating with media and vendors, as needed, to promote agency activities. Keep track of The Freedom Initiative (TFI) activities and assist as needed, including communicating with clients and employees about social activities, ensuring that participant records are up-to-date, and providing on-site administration of social activities. Assist with other agency events and special projects as needed.
Responsibilities:
Maintain with accuracy and timeliness electronic database and manual filing systems; Confidentially handle sensitive information; Maintain up-to-date employee and client records; Review and audit clinician case notes for accuracy in billing; Maintain spreadsheets and other records to ensure all necessary documentation is current and turned in on time. Provide excellent organizational and communication skills to the department staff for the facilitation of efficient management of staff and department projects. Create and maintain a professional and organized corporate environment by regularly monitoring general staffing and facility needs. Enforce policies and procedures with compliance and submit necessary and correct documentation for various departments throughout the company. Organize and file complete paperwork, keeping employee information confidential and meeting HIPAA regulations. Provide backup support for internal communication in the event of an emergency. Be flexible and willing to support the company's growth and development by providing proficient organizational support.
Supervision:
The Operations Administrator Assistant reports to the CEO or the acting supervisor.
