A Clinical Coordinator coordinates operations and oversees medical assisting staff in a clinic or medical department. Responsibilities include supervision of day-to-day operations, management of business aspects, HR duties within the team.
Patient Access & Care Coordinator (Float) Lifespan Counseling | On-site | Omaha (86th & Dodge) Full-time Welcome to Lifespan! An award winning mental health clinic delivering comprehensive care. This job is on site. It is not remote and it is not hybrid. You will sit the front of the practice at our central office. Days consist of assignment to the daily workflows as needed, coverage for patient access and admissions: run new-client access through phones, inquiry-to-first-appointment, insurance checks, and intake paperwork in the EHR. Other days you will cover reception and office logistic duties (coffee bar, stocking supplies, light cleaning) or pick up existing-patient coordination (portal problems, records, reschedules, letters) so those queues do not stall .
Default assignment:
admissions / new-client access. Float assignments follow clinic volume. What you will do New-client access (primary) Answer inquiry callsm and emails, andwith a calm, direct first contact Complete registration, demographics, and insurance eligibility in the EHR Schedule first appointments against real openings, not wishful ones Collect consents and intake documents before the first visit Keep the inquiry-to-scheduled pipeline moving so provider calendars stay full Flag incomplete insurance or missing paperwork the same day, not at the visit Reception / front-of-house Assist with basic check in for clients (iPad system is shared across both offices) Keep the lobby moving: wait times, rooming cues, no-show / late-arrival process Route calls to the right person instead of bouncing people around the building Hold a professional front desk when the office is busy or a client is upset or a provide is delayed Communicate with strong professional boundaries with clinic staff Existing-patient coordination (float / coverage) Handle portal lockouts, telehealth access issues, and records requests Process reschedules, cancellations, and letter requests for current clients Recapture appointments who missed and keep schedules full and efficient Attend to refill requests or provider records, letter preparation, fax routing Hand work back clean: notes in the EHR, strong communication in Slack, Spruce Phone System, Email How the float works Weekly or daily assignment is attended to in the morning. Same-day moves happen when a desk is uncovered Home base is the central office. Elkhorn has no on-site admin; you support that site through the shared check-in system, phone, email You will succeed here if you Have run a medical or behavioral-health front desk, admissions, or patient-access seat Write things down in the system the first time Stay steady with people in distress and still close the task Take direction from the person owning that desk that day Treat this as a business that keeps calendars full, and desire a boundaried Requirements High school diploma or equivalent 1+ year medical office, patient access, reception, or admissions work (behavioral health is a plus, not required). Medical Office / reception work is not negotiable. Comfortable in an EHR; we will train ours Able to pass background check required for this setting Able to work full-time on site at 86th & Dodge during clinic hours Knowledge of insurance eligibility / Medicaid + commercial is a plus (we take Nebraska and Iowa Medicaid and private insurance) Schedule and location Full-time, on site, central office (86th & Dodge). Occasional support for the Elkhorn office by phone and shared systems. Standard clinic hours; exact shift listed at offer.
Pay:
$23.00 - $25.00 per hour Expected hours: 40.0 per week
