Job Description

Overview We are seeking a dynamic and detail-oriented Practice Operations Coordinator to lead the efficient management of a small counseling group practice operations. This vital role involves overseeing daily administrative functions, ensuring compliance with healthcare regulations, and supporting clinical teams to deliver exceptional patient care. The ideal candidate will bring a proactive approach, strong leadership skills, and experience in medical office management to foster a seamless and compliant practice environment. Duties Manage daily operations, including scheduling, patient flow, and administrative workflows to optimize efficiency and patient satisfaction. Oversee fiscal management activities such as insurance credentialing, billing follow-up, and financial reporting to ensure fiscal health of the practice. Ensure compliance with healthcare regulations including
HIPAA, JCAHO
standards, and state/federal health policies by implementing policies and conducting regular audits. Maintain and optimize Electronic Health Record (EHR) systems for accurate patient records and billing processes. Coordinate with clinical staff on records management, medical terminology accuracy, and administrative support functions. Facilitate human resources functions including staffing schedules, onboarding new team members, and managing HR documentation in accordance with healthcare practice management standards. Requirements Proven experience in behavioral health or medical office management or healthcare practice coordination within a clinical setting. Strong knowledge of healthcare management systems such as EMR/EHR platforms (Epic, eClinicalWorks, Dentrix, Eaglesoft). Demonstrated supervisory experience managing teams in a healthcare environment. Extensive understanding of fiscal management including budgeting, medical billing, and financial reporting. Familiarity with healthcare regulations such as HIPAA compliance, JCAHO standards, managed care policies, and health regulation policies. Excellent managerial communication skills coupled with customer service expertise to support staff and patient interactions effectively. Proficiency in Microsoft Office Suite for reporting and administrative tasks. Ability to handle complex medical terminology and manage medical records efficiently. Experience with acute care or hospital settings is preferred; mental health or dental clinic experience is a plus. Knowledge of EMR/EHR systems like Epic or eClinicalWorks is essential for seamless practice operations.
