Insomniac Clubs is a separate entity from Insomniac Events, focused on curating and managing unique nightlife experiences. THE ROLE
The On-Site Event Coordinator at our club is a crucial role responsible for overseeing execution of events at the venue, ensuring a positive experience for clients, guests, vendors, and the staff. This role serves as the primary point of contact during events and is responsible for coordinating logistics, maintaining venue standards, and resolving issues as they arise. Responsibilities Plan events from start to finish according to requirements, target audience and client's objectives Onsite lead the day of the event. Supervise set -up and load out. Oversee all aspects of event functions, ready to step into any role as needed due to client requests, changes in event conditions, and environmental requirements Persuasive with details and the ideal candidate has the ability to upsell Creates menus and coordinates details of food and beverage Sources, negotiates, and coordinates vendors for staffing, décor, lighting, entertainment, AV, security, promotional items, signage, and transportation Collaborates with internal team members in other departments, events department, and vendor teams on the planning and execution of events Analyzes challenging situations and makes recommendations for how to address issues and drives resolutions Draft all Banquet Orders and ensure prompt communication with the operations team Ensure events are completed smoothly and step up to resolve any problems that might occur. Requirements and skills Minimum of 2 years experience as an event coordinator or manager Must be able to work late evenings and weekends Skilled in project management Knowledge of Tripleseat is a huge plus Computer savvy; proficient in MS Office Proficient at creating floorplans and modifying them as needed Outstanding communication and negotiation ability Excellent organizational skills A knack for problem-solving and a calm demeanor under pressure Excellent customer-service orientation A team player with a positive attitude BS/BA in PR, marketing, hospitality management or related field is preferred This position is remote, but must be available to do production site visits, meet with vendors, and be onsite for all events. Required hours are 12-25 hours per week depending on the event pipeline. Events are generally in the evening and on the weekends. Candidates must be available to work late into the evening on event days. Position reports to The Director of Sales.
