TMS/Patient Access Coordinator Responsibilities:
The TMS / Patient Access Coordinator is a dual-role position serving as both the first point of contact for patients and a key support for Transcranial Magnetic Stimulation (TMS) services. This role is essential to delivering patient-centered, coordinated, team-based care across the organization. In the Patient Access function, this individual will courteously and professionally greet patients, manage front office responsibilities, and obtain accurate demographic and insurance information. In the TMS function, this individual will provide consistent, in-office support for TMS services, ensuring a safe, efficient, and supportive patient experience. This position is a hybrid role, with responsibilities split between in-person and remote work; approximately 50% in-office, from 8:00am to 12:00 pm, and the remainder of the day remote. TMS responsibilities require in-office presence five days per week. The selected candidate will receive formal training in TMS and is expected to maintain competency in all related responsibilities and protocols.Job Duties:
Answer all telephone calls and inquiries for the clinic in customer service oriented, professional manner and direct as appropriate, taking detailed and accurate messages when necessary. Collecting information such as patient details, medical history, billing, and insurance information, etc. Provide necessary services to fulfill aspects of encountering protocol such as completion of demographic sheets on all patients, obtaining copies of insurance information, and supporting the need to meet constant and shifting deadlines for individual patient care. Updates and maintains patient medical databases according to established procedures. Offer support and guidance to patients by answering questions and concerns in a timely manner. Maintains an open line of communication with all team members. Performs general administrative tasks such as answering phone calls, patient-related scheduling and registration, faxing/scanning documents and insurance activities for providers as required. Provide daily, in-office coverage for Transcranial Magnetic Stimulation (TMS) services (5 days per week), ensuring continuity of care and patient support. Complete formal TMS training, adhering to all protocols, safety standards, and clinical guidelines. Support the patient experience during TMS visits, including preparation, coordination, and communication with clinical staff as needed. Manages the monthly TMS coverage calendar to ensure there is always coverage in place. Maintain a clean, organized work environment as well as the patient waiting area.Qualifications, Education and Experience:
A high school diploma or equivalent is required; some college is preferred. Minimum of two years of face to face customer service experience is required. Experience providing customer service to patients and their families is preferred. Experience working with patient records and charts and an understanding of insurance plans is preferred. Willingness and ability to complete employer-provided TMS training and perform required in-office coverage. Ability to work a hybrid schedule, balancing in-person responsibilities with remote duties.Skills:
Ability to incorporate excellent customer service skills in interacting with patients, providers and peers. Must be self-driven and possess the ability to work in teams with minimal daily supervision. Proficiency in Google Mail, Sheets, Document, and Calendar is a must. Demonstrates ability to effectively communicate (written & oral) with individuals and groups of various backgrounds and educational levels. Demonstrates ability to manage multiple, changing priorities in an effective and organized manner, under stressful demands while maintaining exceptional customer service.
