SCP is an enterprise that serves adults, children, and families in Rhode Island, Massachusetts, Vermont, and Connecticut. SCP provides psychiatry, behavioral health, and weight and wellness services to its consumers.
Job Title:
Patient Access Coordinator Responsibilities:
The Patient Access Coordinator (Front Office Staff) is the first point of contact with patients and serves one of the most important functions in our enterprise. Our Patient Access Coordinators are a key role in the center's aim to deliver patient-centered, coordinated, team based health care. The Patient Access Coordinator will courteously and professionally greet patients and obtain accurate demographic and insurance information upon registration. Patient Access Coordinators will uphold his/her duties by adhering to the highest standard of ethical and moral conduct to support the mission, vision, and values of the organization.
Job Duties:
Answer all incoming telephone calls, inquiries, and patient messages for both Outpatient Programs and Weight & Wellness Programs in a professional, customer service-oriented manner. Provide shared phone coverage and scheduling support across multiple programs, providers, and service lines while maintaining a high level of patient satisfaction and operational efficiency. Coordinate patient scheduling, registration, intake, and appointment management for psychiatry, behavioral health, and weight & wellness services. Collect, verify, and maintain accurate patient demographic, insurance, billing, and medical information within the electronic medical record system. Complete patient outreach calls, orientation calls, reminder calls, and follow-up communication in accordance with departmental workflows and expectations. Support patient onboarding processes, including obtaining required documentation, insurance information, releases, and intake materials. Maintain and update patient records, provider schedules, tracking databases, and program census information according to established procedures. Assist patients by answering questions, resolving concerns, and facilitating communication between patients, providers, and clinical staff in a timely and professional manner. Create and distribute laboratory slips, provider correspondence, PCP letters, and other patient-related documentation as requested. Support operational workflows related to active patients, inquiring patients, and discharged/completed patients across multiple programs. Manage scheduling demands for multiple providers and disciplines, including same-day scheduling requests, rescheduling needs, and coverage coordination. Perform administrative duties including faxing, scanning, document management, insurance-related activities, and maintaining organized patient records. Maintain open communication with team members and assist with cross-coverage responsibilities to support overall departmental operations and patient access needs. Maintain a clean, organized, and professional front office and patient waiting environment. Adhere to all organizational policies, HIPAA regulations, and standards of professionalism, confidentiality, and ethical conduct.

Serve as the first point of contact for patients, answering all telephone calls and inquiries in a professional, customer service-oriented manner; direct calls appropriately and document detailed, accurate messages when needed. Adapt to the needs of both Weight & Wellness and Outpatient programs, providing cross-coverage and support based on volume and operational priorities. Provide TMS coverage as needed.
Schedule Expectations:
This position follows a part-time schedule consisting of four (4) 5-hour workdays.
Schedule is as follows:
Monday-Thursday, 1230PM-530PM, with occasional morning coverage needed out of the North Kingstown, RI office.
Qualifications, Education and Experience:
A high school diploma or equivalent is required; some college is preferred. Minimum of two years of face to face customer service experience is required. Experience providing customer service to patients and their families is preferred. Experience working with patient records and charts and an understanding of insurance plans is preferred.
Skills:
Ability to incorporate excellent customer service skills in interacting with patients, providers and peers. Must be self-driven and possess the ability to work in teams with minimal daily supervision. Proficiency in Google Mail, Sheets, Document, and Calendar is a must. Demonstrates ability to effectively communicate (written & oral) with individuals and groups of various backgrounds and educational levels. Demonstrates ability to manage multiple, changing priorities in an effective and organized manner, under stressful demands while maintaining exceptional customer service.
