This role ensures a smooth, welcoming patient experience from the moment of first contact through checkout, and works closely with the clinical team to support a growing functional medicine practice. Key Responsibilities Front Desk & Patient Experience Greet patients warmly and manage check-in/check-out for all appointments. Answer, screen, and route incoming phone calls, voicemails, and emails promptly and professionally. Maintain a clean, organized, and welcoming reception and waiting area. Collect and verify patient demographic and consent information at each visit. Address patient questions and concerns, escalating clinical matters to the appropriate provider. Manage patient intake paperwork and ensure required forms are completed prior to visits. Scheduling Manage the daily and weekly provider schedule in the EMR/practice management system, optimizing for patient flow and minimal gaps. Book, confirm, reschedule, and follow up on appointments; send appointment reminders. Coordinate new patient onboarding, including scheduling intake visits and required lab work. Track and manage patient recalls, follow-up visits, and no-show/cancellation policies. Coordinate provider availability, time-off requests, and schedule changes with the clinical team. Payment Coordination Collect payment and outstanding balances at time of service. Coordinate accurate processing of patient payments and issue receipts. Apply sales tax rules correctly to taxable products/services. Practice Support Maintain and troubleshoot basic front-office technology (EMR, phone system, card readers, printers) and escalate issues to IT/vendor support as needed. Train additional front-desk staff as the practice grows; assign daily tasks and monitor performance. Maintain organized digital and physical filing systems for patient, financial, and operational records. Support the clinic owner with special projects, reporting, and process improvement initiatives. Qualifications Required High school diploma or equivalent; Associate's degree or relevant certification preferred. 2+ years of experience in a medical, dental, or wellness office front desk or administrative role. Proficiency with EMR/practice management software and standard office software (Microsoft Office/Google Workspace). Strong organizational skills and the ability to multitask in a fast-paced clinical environment. Excellent verbal and written communication skills and a patient-first, professional demeanor. Preferred Familiarity with functional medicine, integrative health, or concierge-style practice models. Familiarity with HIPAA compliance requirements and healthcare office regulations in Tennessee. Work Environment & Physical Requirements On-site position in a clinical office setting in Murfreesboro, TN. Primarily seated desk work with regular use of computer, phone, and office equipment. Occasional light lifting (supply deliveries, up to 20 lbs). Standard clinic business hours; occasional early/late scheduling to accommodate patient needs. Compensation & Benefits Compensation is commensurate with experience. Specific hourly range to be determined by the clinic owner and defined in the final offer letter.
