Patient Care Coordinator/Office Manager Full-Time Dallas, Texas Overview We are seeking an exceptionally professional, polished, and personable Patient Care Coordinator and Office Manager to serve as the face and heart of our new boutique plastic surgery practice. This role is ideal for someone who thrives on building meaningful connections, anticipates patient needs, and embodies the poised, compassionate energy that defines our brand. As our Patient Care Coordinator, you will ensure a smooth, luxurious, and attentive experience for every patient from the first phone call to their final follow-up, while playing a key role in creating an environment that feels elevated, organized, and deeply human.
Key Responsibilities:
Concierge-Level Patient Experience Welcome each patient with warmth and a polished presence that reflects the elegance of our practice. Provide an exceptional first impression both in person and over the phone, setting the tone for a supportive and personalized experience. Assist patients in understanding the process, preparing for consultations and procedures, and navigating their care journey with confidence. Serve as a calming, friendly, and trustworthy point of contact throughout their time with the practice. Scheduling & Coordination Manage the surgeon's and clinic's schedules with precision, anticipating needs, preventing conflicts, and maximizing efficiency. Coordinate consultations, pre-op and post-op appointments, and surgery days with clarity and attention to detail. Ensure appointment reminders, confirmations, and instructions are delivered clearly and professionally. Administrative Operations Maintain meticulous patient records and ensure all documentation is complete, accurate, and compliant. Manage multi-line phone systems with grace and strong communication skills. Monitor office inventory, coordinate vendor relationships, and ensure the practice environment remains organized, stocked, and polished. Experience with insurance verification, benefits checks, and understanding general insurance processes is highly helpful for this role, as we care for reconstructive patients as well as cosmetic patients. Team Support & Growth Assist in onboarding and supporting new team members as the practice grows. Participate in refining office systems, SOPs, and workflows to maintain a smooth, high-end patient experience. Help with community-facing initiatives, events, or educational opportunities that reflect the mission of the practice. Qualifications Prior experience in a medical office, plastic surgery, dermatology, or other aesthetic environment strongly preferred. A polished, professional demeanor with exceptional verbal and written communication skills. Strong organizational abilities and comfort managing multiple tasks with accuracy and grace. Experience with insurance processes (verification, prior auth basics, benefits coordination) is highly beneficial . Proficiency with scheduling systems, practice management software, and multi-line phones. Proficiency with computer program use, including Outlook, Word, Adobe, and basic e-fax and email capabilities. A genuine passion for patient care, aesthetics, and creating meaningful patient relationships.
