Administrative Coordinator - Old Red Medical Museum (Non-Benefit Bearing, Up to 8 Hours per Week)

  • Bachelor's degree or equivalent in a related field; 2 years of related experience.

  • Previous experience of working in an academic medical school/heritage environment.
  • Job Description:
  • To provide professional guidance, supervision, and coordination in the administrative duties of a department.
  • Job Duties:
  • Under the direction of the Curator, the Administrative Coordinator is responsible for providing professional administrative and operational support for the Old Red Medical Museum (third floor, Ashbel Smith Building). Work collaboratively with faculty, students, staff, and external stakeholders to support the daily operations of the museum and management of the heritage collections.
  • Administrative Support
  • + Provide administrative support for the museum (serve as a point of contact, scheduling meetings, drafting minutes).
+ Maintains collections management records and policies. + Submit invoices and purchase order requests through the Academic Enterprise Service Center. + Processes Travel Authorizations and travel reimbursements for museum personnel. + Adheres to internal controls and reporting structures. + Perform other related duties as required.
  • Event Coordination & Management
  • + Coordinate program of tours and events. + Maintain a calendar of museum activities. + Interface with UTMB internal services (Facilities, Classroom Services, etc.) personnel.
  • Knowledge / Skills / Abilities
  • + Proficiency with Microsoft Office software. + Participate in the analysis of the museum budgets. + Effective problem-solving skills. + Strong professional communication and interpersonal skills. + Ability to manage multiple priorities.
  • Salary Range:
  • Actual salary, commensurate with experience.
  • Work Schedule:
  • Onsite. This is a non-benefit-eligible position limited to up to 8 hours per week.
